Job Description

The Position

Reporting to the Execution Delivery Lead, the Administration Assistant’s accountabilities and functions will involve providing efficient and effective administration support the Sustaining Capital Projects team.

Key Responsibilities

  • Provides administration support to Sustaining Capital Projects team
  • Coordinates team meetings, communication, management of minutes, and actions for meetings.
  • Document Creation.
  • Assisting with vendor on-boarding requests.
  • Creating and distributing Site Notices and Teams Announcements.
  • Assisting with Event planning and coordination.
  • Creating work instructions and formatting documents such as Policies and Procedures for Sustaining Capital Projects team.
  • Binding / Printing and Laminating documentation.
  • Commissioning administration support (PPE, Induction bookings, creating training schedules).
  • Maintaining registers.
  • SAP (Creating reservations, Purchase Ordering, Goods Receipting and Invoice approval).
  • Arrange site access, and appropriate PPE as required for contractors / visitors and new starting employees.
  • General office housekeeping and organization.

Work Experience / Technical Skill Requirements

  • Essential to be able to work to deadlines, have sound communication skills and be able to build and maintain effective relationships with key internal and external stakeholders at all levels.
  • Computer skills – Microsoft Office Suite.
  • Ability to work autonomously, multitask and use initiative.
  • Capacity to work independently with minimal direction and collaboratively in a team environment.
  • Strong organization skills, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines.
  • SAP experience – desirable

Education / Qualification Requirements

  • Qualification in Business Administration or a related field, or suitable experience.
