About the role:

Alstom has a permenent opening for a Senior Administration Assistant based in the Macquarie Park office. Reporting to the Office Manager/Executive Assistant, you will provide administrative support to the broader office workforce, administer the travel, manage the corporate credit card/expense system and provide general administrative duties for the office.

Other responsibilities include:

  • Administration of the maintenance of the North Ryde Office
  • Coordination and assistance with site-based events
  • Administration of parking application and petty cash for the North Ryde site
  • Assist with onboarding of new starters at North Ryde site
  • Coordination and maintenance of desk location and employee register and floorplan
  • Purchase requisition and purchase order management as well as, invoice approval for office suppliers
  • Provide assistance in events, as required
  • Manage travel profile creation for employees, assist with employees travel and relocation bookings
  • Liaise with suppliers to manage travel profile and booking issues
  • Provide travel reports including circulation of monthly flight credit reports
  • Coordinate corporate credit card administration in line with Company policy


About you:

  • Self-starter who is able to manage relationships with external service providers and proactively handle issues
  • Highly proficient with MS Excel, word and PowerPoint
  • Experience in travel coordination and management including travel systems
  • Excellent problem solving, critical thinking and communication skills
  • Proactive and efficient responses to pressing issues, and challenges
  • Exemplary planning and time management skills
  • Extensive experience in expense claims management using Concur, or similar
