A fantastic opportunity at nbn, Australia’s largest infrastructure project, as a Personal Assistant, where you will focus on providing full administrative support to the Executive General Managers (EGM) within the Field Services and Customer Engagement teams.
A bit about your role
The Personal Assistant to the EGMs is required to work proactively and comfortably in communicating with people at all levels in the organisation, with the ability and flexibility to adapt to different approaches and work styles. In return you will join a high-performing and dynamic team where you will become a valued member of the team.
The key accountabilities for this role will include diary management and meeting coordination, resolving conflicting schedules, organising and attending meetings, setting agendas and minuting actions. In addition to this, you will build relationships with key staff and partners, assist with the co-ordination of recruitment and on-boarding activity for new employees.
The scope of the Personal Assistant will also extend to arranging travel for the Management and teams as required, expense reconciliations and processing, producing reports and presentations as directed, assisting with communications as required, liaising regularly with key stakeholders including; vendors, executives, general managers and their assistants, on behalf of the EGM’s.
A bit about you
The ideal candidate is an individual with a strong background in providing administrative support for senior management levels in a complex matrix organisation and is experienced managing multiple stakeholders/managers. You will be highly organised, work proactively, be flexible, and bring an upbeat can-do attitude.
As a Personal Assistant, your experience will include setting agendas and capturing minutes and following up on actions to meetings, developing new processes and improving existing processes with the ability to learn and understand EGM’s role and priorities including subject matter and relationships with team, company and partners.
Intermediate to advance user of all Microsoft Office products, including creating PowerPoint presentations, working with Excel data to prepare financial information, data mark-ups within Word with a friendly can-do attitude and an interest or experience in assisting projects would be advantageous.
