How you’ll make an impact:

The Design Operations Coordinator will play an important role in helping to support Design Operations at Xero. You will help to enable the processes, systems, and behaviours required to run a large and growing design team. This role supports and contributes to the overall design effectiveness of a global design team.

What you’ll do:

Projects & Processes
Help to support the Design Operations team on key initiatives that will improve the Design Ops and Product Design Practices.
*Assist with the set up and management of our team documents and Asana boards to ensure key members of the design leadership team have visibility and updates of current initiatives, resource use and team performance.

*Assist with the management and allocation of tools licence requests and new software requests for usage across the team.

*Assist with the setup and maintenance of a team folder structure to create a uniform structure across our various tools and systems.

*Assist on the creation and management of a content library to house key documents. This will include the set up and maintenance of the library as well as helping to create the content and ensure it is kept up to date.

*Establish consistent conventions for documenting, naming, managing, and storing files to drive alignment, adoption, and more efficient onboarding of new members.

*Establishing connections with facilities/IT in your region to ensure the teams are set up with the spaces and equipment required to do their jobs.

*Setting up and maintaining onboarding guides for new employees in the team and their managers to ensure they are prepared.

*Managing the global team rituals - Helping to set up agendas, slide decks, speakers, and attendee lists for key team meetings.

*Ensuring our design induction decks are up to date and consistent in each region and helping to organise speakers from the team when required at these events.

*Maintaining our Org charts, regularly updating with new starts, promotions, and change of roles.

*Ensuring that new employees have been added to the relevant team meetings, Slack channels, and shared Google drives.

*Helping to set up and run internal and external events when required including tasks such as finding suitable venues, organising speakers, inviting guests, organising catering when relevant.

*Setting up and maintaining various calendars that help provide timely and useful information to the team.

*Supporting the engagement of external contractors where needed, including helping with the onboarding process.

What you'll bring with you

  • 2+ years of professional experience in operations roles, or in administrative duties, project management, process improvement, or a related field.
  • Any experience supporting a design team is a bonus.
  • Extremely organised and detailed self-starter.
  • Comfortable with some ambiguity and the foresight to create a plan B before it’s needed.
  • Active listener and systems-thinker; heading off issues as we scale.
  • Passion for effective and timely internal and external communication.
  • Ability to work across multiple projects in a fast-paced environment.
  • Great people skills

  • Basic understanding of product design and development process
