We are currently looking to recruit a permanent Administrative Coordinator, who has previous global pharmaceutical experience, to join and support the Global CVRM Eplontersen Brand Team.

We are looking for an enthusiastic experienced individual, who shows initiative, and who is willing to learn and develop, with excellent communication skills and a proactive approach to join this dynamic and effective global team. A team player, you will work closely with the other CVRM PAs and Administrator’s, providing cover as appropriate during annual leave periods.

This is an exciting opportunity for you to take on a challenging, proactive and varied role within our team. The role will support the VP Global Commercial eplontersen and their team located across our AZ hubs in the US and UK. Your focus will be providing high quality, professional AC support to senior managers across the department.

This role will include extensive diary management, coordinating internal and external meetings, arranging virtual meetings and video conferences, managing complex travel including visa arrangements, as well as organizing and preparing material for key meetings and communications. You will be required to attend key team and project meetings; supporting preparation of meeting agendas and other relevant documentation, and taking minutes and tracking actions.

You will work closely with the relevant managers on their budgets, running monthly reports and tracking T&E accordingly. You should also have experience of processing expenses and purchase orders, as you will be responsible for raising all purchase orders for the teams and working with finance to resolve any problems or queries that arise.

You will become an expert user across key business systems and tools such as, MS Teams, Coupa, Concur, Box, Sharepoint etc. and provide a professional point of contact for the department, and wider CVRM TA.

You will possess excellent verbal, written and interpersonal skills, good business awareness with sensitivity to confidential information, a can-do attitude balanced with a good sense of humor.

Main Duties and Responsibilities

  • Proficiency with Outlook to manage busy calendars, schedule meetings, conference calls/MS Teams/Zoom, and special events/large meetings

  • Facilitate work though contracting routes, to enable rapid SOW creation and project initiation along with purchase order creation, invoice resolution and other financial administration. Proficiently support departmental budgets and monitoring of budget expenditure

  • Responds on behalf of the senior leaders to different stakeholders maintaining high professional standards whilst meeting conflicting needs

  • Arrange multi-location domestic and international travel arrangements and expense reports with accuracy and efficiency, including follow-through to ensure that appropriate and timely action is taken. Monitor VISA’s and Passport expirations to ensure they are current

  • Work with Vendors to help schedule meetings and help facilitate logistics

  • Work with leaders to help prioritize work and realize efficiencies within the team

  • Effectively manage special projects and other administrative duties as assigned

Essential Requirements

  • High School Diploma

  • 5+ years of administrative experience supporting senior leaders

  • Must have strong written and communication skills and the ability to interact confidently with executives/ employees

  • Should be able to work autonomously, and at the same time, collaborate effectively with other members of the administrative support team

  • Flexible to adapt to ever changing needs and deadlines

  • Must be able to effectively multitask in a fast-paced environment while maintaining confidentiality and discretion

  • Must be able to demonstrate tact, persuasion and/or negotiation and maintain confidentiality

  • Previous Pharmaceutical or AstraZeneca experience

  • Strong time-management skills

  • Experience working in a fast-paced global environment

  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

Desirable Requirements

  • IT skills and previous use of MS Teams, Coupa, Concur, BOX/SPOL

  • Efficient in supporting staff with software updates.
