The Business Support Coordinator (BSC) is required to provide executive support in the office of the Global CEO of Avanade. The BSC works alongside the EA to the CEO to ensure the CEO’s schedule and all activities are prepared and organised to the highest standard to maximise productivity of the CEO. This role will involve frequent liaison with members of the Avanade Executive leadership team, and executives from outside organisations such as Accenture, Microsoft and Avanade clients.The BSC will report into, and collaborate closely with, the Chief of Staff to the CEO.

The BSC is a creative, resourceful, organised person that enjoys working in a small, entrepreneurial environment whilst appreciating the scale and complexity of the company, its parents and business objectives.This person is results driven and team-oriented and willing to take on special projects pertaining to the Office of the CEO, approaching these with a ’can-do’ attitude.

The ideal personality for the role will be able to represent the CEO in interactions with senior leaders and be the ‘face of the CEO office’. This requires a pleasant demeanour, approaching challenging situations proactively and pragmatically with a mature attitude. The role also ensures that all interactions with the CEO Office are professional and dealt with a high level of integrity.

The BSC has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organisational skills to plan ahead in supporting the CEO and the ability to maintain a realistic balance among multiple priorities. The BSC has the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion and diplomacy.

Responsibilities Include:

To deliver the highest quality executive support within the CEO office, always maintaining the privacy of executives and the company.

The BSC will complete a broad variety of administrative tasks including:

  • Working alongside the EA in an extremely active calendar of appointments.
  • Planning well in advance Area/Regional visits of CEO around the world, including itinerary/schedule/agenda, and administration related to legal and compliance issues such as work permits and taxes etc.
  • Assisting the Chief of Staff with the planning and organisation of Executive Committee meetings, working with the Marketing team to ensure logistics are arranged for onsite meetings. Attending such meetings to record minutes and note actions where required.
  • Assisting with and resolving any urgent issues raised by the CEO if the EA is unavailable.
  • Tracking of CEO meetings with Avanade parent companies (Accenture and Microsoft), and clients, working with the Chief of Staff to prepare briefing documents & information for the CEO in a timely manner, to ensure the CEO is adequately prepared in advance of such meetings..

Additional attributes:

  • The BSC has excellent verbal and written communication skills, meticulous attention to detail, with experience in operating at C-suite/Board level.
  • The BSC will happily travel with the CEO as required – both UK and international locations.
  • The BSC will be required to be responsive to CEO requests, potentially outside standard working hours.
  • Prioritising conflicting needs; handling matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures.

Other position details:

  • May take on special projects linked to the Office of the CEO.
  • May compile presentations decks for the Office of the CEO and support final editorial and formatting of deliverables. Experience and strong skills in Microsoft office tools (Word/PowerPoint/Excel) as well as collaboration tools (Microsoft Teams) would be an advantage.
  • May perform records management, expense management, tracking and maintaining documents, distribution lists, and Teams sites etc.
