As an Executive Assistant in our Commodities and Global Markets group, you will report to the Office Manager for the Group and 2 Directors of the Specialised and Asset Finance team in London. This is a maternity leave cover role.

You will primarily support the Mobility, Energy, Resources and Sustainability team (MERS), provide additional support to the broader Specialised and Asset Finance team as needed as well as provide cover for other Executive Assistants. You will play an essential role in keeping the team organised and operating effectively. Exercising good judgment, discretion, and flexibility in approach, you will be proactively anticipating the needs of the executives that you support. As a problem solver who can multi-task, your additional understanding of the industry culture will help you better understand and support the team. You will be working with a group of dynamic and enthusiastic professionals, whose work is consistently recognised as industry leading.

In this role, you will be providing the full spectrum of administrative and secretarial assistance to the team. This will include:

  • Calendar management, expense processing, travel coordination for both domestic and international trips using Concur for multiple executives and managing meeting bookings for both internal and external stakeholders. You will also assist the legal team supporting the Mobility, Energy, Resources and Sustainability team with their document management and signing procedures.
  • You will closely work with the account management team supporting teams with the creation of Purchase Orders and at times dealing directly with external firms to co-ordinate invoicing.
  • As well as these everyday tasks you will be involved in attending and taking notes in calls and meetings, you will be assisting with onboarding of new starters, liaising with in-house services like IT, HR, Business Services and so on.
  • You will have the opportunity to work on high profile events and functions, both internally and externally. This could range from conferences to team building events.
  • You will also provide on-site support to ensure all events run smoothly and help to ensure Macquarie is represented to the highest standard.

You will bring to the team at least 3 years of experience in a similar executive assistant role within an international organisation or an investment banking. Trading floor experience will be highly regarded. You should be confident working with senior-level colleagues across different offices and time zones and have exceptional communications skills.

Having excellent time management skills and organisational skills will be essential for this role. Solid skills in Outlook, Word, Excel and PowerPoint will be required. At times, you will need to manage conflicting priorities – so the ability to multi-task, remain detail orientated whilst working in a fast-paced environment will also be crucial.
