What will you be doing in this role?

  • Knowledge of basic writing, English grammar, and spelling to create and edit written email responses.

  • Possession of good oral, written and interpersonal communications skills to interact and provide information to internal and external customers, and ability to understand oral and written instructions

  • Ability to read and understand instructions, to add and subtract numbers, and to distinguish between numbers and letters

  • Ability to handle assigned tasks with concentration, speed, and accuracy; ability to maintain established service levels, and ability to meet departmental requirements

  • Ability to maintain a flexible work schedule, which may include weekends and holidays, or working overtime on very short notice

Education & Experience Required

  • High School Diploma or Equivalent
  • Three or more years of admin support experience

Or an equivalent combination of education and experience

Principal Duties & Responsibilities

  • Supports the leadership team through coordinating events for the D&V program as well as requests from Aflac operations seeking to utilize D&V meeting space

  • Oversees and enforces all safety protocol standards for meetings and events that occur in D&V space

  • Coordinate any building occupancy licenses, security and fire safety audits with the local municipal or state entities

  • Manages communication regarding facility changes and activities to the D&V organization

  • Ensures all documents requiring senior-level signatures are processed and tracked through timely completion

  • Assists in office administrative duties to include overseeing all front desk receptionist responsibilities and assisting as needed with incoming telephone calls, receiving visitors, scheduling of meetings, catering orders, etc.

  • Ensures cleanliness of meeting spaces before and after events, including tasks such as sanitizing countertops, stocking of supplies, checking and cleaning refrigerators, removing trash, etc.

  • Partner with internal facilities and outside vendors on all maintenance needs that do not fall within the responsibility of the building's property management

  • Maintains inventory levels of supplies and initiates purchase orders as necessary

  • Works with property manager and Facility Services with issues to include temperature changes, mechanical issues, electrical issues, plumbing, maintenance and safety issues

  • Record, file and track all outgoing and incoming couriers

  • Responsible for, and works with the receptionist to ensure incoming and outgoing mail is processed correctly and in a timely manner

  • Coordinates with leadership and assigned personnel to support company events including Employee Appreciation Week, Holiday Celebrations, etc.

  • Performs other duties as required

This compensation range is specific to the job level and takes into account the wide range of factors that are considered in making compensation decisions including, but not limited to: education, experience, licensure, certifications, geographic location, and internal equity. The range has been created in good faith based on information known to Aflac at the time of the posting. Compensation decisions are dependent on the circumstances of each case. This salary range does not include any potential incentive pay or benefits, however, such information will be provided separately when appropriate. The salary range for this position is $45,000 to $90,000.
