As Chief of Staff, you will work closely with the leadership team across the IC3 Real Time Communications (RTC) division. You will lead strategy and execution around rhythm of business, communications, business processes, procedures, and enabling effective execution. You will also partner with Chief of Staffs across IC3 as well as Experiences and Devices to align with our partner teams.

You will be responsible for recruiting, leading, and mentoring a team of business administrators accountable for managing budgets, headcount, team culture, events planning, employee onboarding, procurement, and other operational requirements for a world class product team operating at scale.

Within this role, you will be focused on continuous operational and business improvement and effectiveness through means of using your expertise to identify issues that impede business group success. You will need to be curious and enjoy figuring out solutions with or on behalf of the leader. It will be key to make informed guesses and bets and then listen for input to refine the path forward.

Responsibilities

In this role, you are responsible for key operational rhythms and processes, creating a holistic view of the operational mechanics of the organization. This includes responsibility for:

  • Helping the IC3 RTC leadership team to filter and balance priorities to align time and focus on the business including acting as single point of contact for specified work streams.
  • Organize and setting cadence of appearances for divisional events (e.g. all hands, leadership team meetings).
  • Coordinating outbound communications and alignment with partners.
  • Translating dialogs/strategy into actions and/or projects that achieve leadership expected outcomes.
  • In partnership with the HR Director, driving the internal executive communication function of the organization, including broad employee engagement and reinforcement of organization vision and culture..
  • Building operational rhythms and calendars which anticipate the delivery needs of the organization and enable the leadership team to operate effectively and efficiently.
  • Creating a holistic view of the operational mechanics of the organization with appropriate pacing, linkages, and information flows.
  • Developing and managing annual, semi-annual and quarterly processes specific to strategy refresh, technical priority development, executive reviews, people development, etc.
  • Preparation for key product and customer events.
  • Tracking status and managing communication on engineering and technical dependencies.
  • Leading key ongoing/regular operational review processes such as service health, incident post-mortem, proactive health metrics, as well as product deep dives.
  • Managing cadence, agenda and logistics for leadership meetings and off site meetings.
  • Proactively identifying issues that impede business group success and providing solutions/recommendations.
  • This role is also expected to take point leadership on irregular and unanticipated topics that are operational in nature, including driving strategic initiatives.

Business Management:

  • This role will manage processes that will support effective business and financial operations of the organization including:
  • Managing annual financial planning processes with the leadership team, ensuring coordination and integration across groups and proactive development of growth scenarios and business cases.
  • Tracking progress and actions against long range financial plans.
  • Proactive management of organizational budgets and spending.
  • Purchasing and financial approvals.
  • Headcount management across leaders working closely with business managers and admins of each leader.
  • Acting as the interface to Finance.

Leadership:

  • The role is a direct report to the Partner General Manager and is responsible for providing direct support to the team. As a member of the Leadership Team, the individual is expected to be a full contributor to all leadership team discussions and topics, participating in most relevant meetings and offering synthesized business perspectives relevant to influencing key strategic decisions.
  • This role is for a manager of a team of business administrators responsible for supporting a significant sized product and engineering team operating at scale. You will be responsible for recruiting, managing, and developing employees and fostering a culture that aligns with Microsoft core values.

Qualifications

  • 7+ years of related experience such as financial planning, growth development, budgeting, business management, and growth strategies.
  • Demonstrated ability to influence executive leadership on complex business topics.
  • Systems thinker, able to manage a high degree of complexity and to distill information into simple messages, able to think both strategically at a global level as well as effectively developing key processes.
  • Exceptional cross-organization coordination and communication skills including ability to build comprehensive and compelling presentation and communication materials that span functions and groups.
  • Strong interpersonal skills including ability to build trust, influence, and foster relationships with diverse team members; ability to leverage relationships to drive consistency of approach and ensure delivery.
  • Ability to balance varying responsibilities that span rhythm of business, communications, executive management, and culture.
  • Passion to foster a culture of efficiency and high performance through initiatives, training & education, and communication.
  • Strong project management skills and ability to lead multiple high-profile projects of varying timelines simultaneously.
  • Ability to effectively collaborate, influence, and leverage outside resources to drive results.
