About the team
Join our close-knit team of 8 EAs, where you'll play a crucial supporting role for our Executives and senior managers. We're a collaborative team that values regular morning catch-ups to start our days off right. While the majority of the team is currently based in the UK, Germany and Canada.

About the role
An Executive Assistant at The Adaptavist Group or any of its companies will play a key role in helping the business grow, pushing for the level of rapid growth that we currently achieve into the foreseeable future, and supporting the team with the challenges that come with that.
This role will mainly cover general administration, operational duties and supporting the Executives by freeing them of tasks in order to help them focus on managing their areas of the business day to day. The role will involve challenges daily which will need creative and collaborative solutions working with various stakeholders internally and externally, at all levels.
What you'll be doing
- Handle incoming requests and inquiries through the service desk, providing prompt and professional responses.
- Familiarity with service desk platforms or ticketing systems
- Experience with travel coordination and event planning
- Coordinate and organise the executive's diaries and inboxes across various time zones Respond to emails where requested
- Preparing agenda’s, writing minutes and attending meetings Organising and coordinating complex travel and accommodation requests
- Maintaining up to date personal documentation in a secure way
- Providing all relevant documentation for meetings ahead of time to ensure the executives are prepared for meetings
- Running and maintaining small projects and initiatives independently of the executive
- Build strong relationships with the current executive team to ensure harmonious working relationships
- Engaging with and on behalf of the executive with internal and external stakeholders at all levels
- Be visual to Adaptavist employees as the point of contact for Executives Proven experience in coordinating and prioritizing tasks for multiple executives or team members
What we're looking for
- Proven track record as an Executive Assistant or in a similar administrative role
- Comfortable use and good knowledge of Apple Mac Business/office software tools (Word, Excel, PowerPoint), Google sheets/docs, Trello, Slack, Skype
- Excellent planning and organisational skills - you'll be detail orientated and thrive on delivering good results
- Strong English communication skills - verbal and written
- Comfortable working with senior stakeholders at all levels internally and externally - candidates will need to be able to build and develop strong relationships with a range of stakeholders
- Creative approach to problem solving
- Ability to demonstrate discretion and confidentiality at all times
- Have a flexible and adaptive style to working, positive attitude, team player and a good sense of humour
- Ability to work well under pressure and prioritise workload proactively
- Display a high degree of resilience in an environment which is constantly changing
