Location: Portsmouth, with hybrid working available.
Salary: £27,000-£34,000 depending on skills and experience
What you’ll be doing:
We have opportunities to provide a comprehensive Personal Assistant service to senior leaders (Head of / Director level) within Maritime and Land Central to ensure the smooth running of the department. These leaders will be based on geographically diverse sites across the UK, so effective virtual collaboration with key stakeholders will be key to success. In this role you will have the opportunity to understand the breadth of the Maritime and Land sector and operate in a fast-paced environment.
Key Responsibilities will include
- Extensive diary management, travel and expenses. Due to the multiple roles involved and geographic diversity of the sector, this is a complex and demanding part of the position, which requires someone who is agile and thrives in a changing environment
- Email management on behalf of senior leaders to ensure responses occur both promptly and effectively
- Making all arrangements for attendance at internal sites and external meetings / events, including detailed diary planning around engagement with senior external stakeholders
- Arranging and co-ordinating senior level visitors and associated facility / security / PPE requirements
- Collating data to produce routine reports, schedules, presentations, summaries and letters as required for internal/external distribution
- Building a working knowledge of the stakeholder groups which the Director and senior leaders interface to ensure efficient and effective engagement with these groups and individuals on an ongoing basis
- Providing annual leave support for Maritime and Land Board Executive Assistants
Your skills and experiences:
- Proven experience of providing secretarial support to senior management, including virtually
- Track record of diligently managing business administration processes
- Highly organised, focussed and delivery orientated. Able to manage sensitive, confidential, challenging & conflicting priorities
- Excellent interpersonal and communication skills, able to act with tact and diplomacy
- Expert level IT skills in a number of packages including use and extract of data from dashboards, highly competent in MS office such as PowerPoint, Word, Excel e.g. email mail merge, v-lookup and other formulas.
- Extensive experience of using digital communication mediums e.g. seamlessly and professionally setting up video conferencing, MS Teams, large webex forums
