What you’ll be doing:
- Processing expense claims using appropriate systems to transact an expense claim and assisting team members in processing their claims, in line with the travel and expenses policy
- Arranging and co-ordinating travel requirements with the BAE Systems travel office and international travel booking teams including arranging itineraries, currency and visas where appropriate, within the required timescales needed for the business trip
- Assisting the office team in maintaining a cost-effective environment ensuring aspects such as IT and stationery ordering are within the appropriate office budget
- Ensuring the appropriate maintenance of relevant documents and data using systems such as SharePoint and Olympia, ensuring this is in line with the most current Document Creation and Retention policy
- Providing additional support to the wider team when required, to ensure a reliable service level throughout the business function
Your skills and experiences:
- Working experience within administration/secretarial position
- Good customer service skills
- Effective communication across all levels of the organisation
- IT literate with Microsoft Office Applications (Excel, Word, PowerPoint)

At BAE systems, was are looking for an enthusiastic, motivated and hard-working team member to join our European and International Business Support Team as an Administration Assistant at our site in Warton.
As an Administration Assistant, you will be responsible for supporting the wider business team in discharging their roles. You will act as the face of the Business Support team and will be required to interact with all levels of internal stakeholders.
This role will allow you to join a business with a breadth of activity and stakeholder engagement across multiple lines of services. You will have the opportunity to significantly enhance your functional skills and knowledge which will open career development opportunities across the wider BAE business.
