Senior Administrative Assistant

Provides administrative and clerical support to relieve department managers or staff of administrative details.


Who you are:

  • 6- 8 years of related clerical support experience

  • High School diploma or equivalent

  • Ratio of managers to AA 1:3 Sr. Dir Teams

  • Functional/ Technical Skills

  • Calendar Management

  • Travel Coordination

  • Microsoft Office Proficiency

  • Onsite/Offsite Event Support


What you'll do:

  • Supporting 3 Senior Directors and their calendars

  • Booking Rooms and Ordering Food

  • Reporting up to a Senior EA

  • Overflow requests from Senior EA

  • Anticipates routine information requests

  • Uses standard information management tools (e.g., Basecamp, SharePoint, Workday, Streams) and follows standard processes to retrieve and share requested information

  • Uses organized systems to store or archive information/files as appropriate, and follows company protocols for disposing of sensitive information

  • Regularly updates email aliases and distribution lists

  • Serves as logistical support for team events (internal/external)

  • Anticipates and takes action on what needs to be done to accomplish an objective, task or goal; finds alternative or less obvious ways to carry out plans

  • Sets challenging yet motivating short and long term goals which lead to beneficial individual and team results

  • Accepts ownership for individual performance, results and actions; volunteers for tasks before being asked by others or being forced by events

  • Ensures there is coverage during absence. Provides coverage for peers when absent

  • Demonstrates ability to manage several tasks and meet deliverables with minimal error

  • Determines the relative impact and urgency of individual tasks

  • Appropriately makes difficult trade-offs on time and resources when faced with conflicting demands and high priority deadlines

  • Makes accurate judgments regarding the time required to complete various work outputs

  • Tracks deadlines and follows up with team members to ensure deadlines are successfully met

  • Prepares documents, reports, and other materials for staff and business meetings

  • Plans and schedules meetings, organizes domestic and international travel, and reconciles expenses

  • Manages office supplies and catering, and owns relationships and deliverables of external office facilities staff

  • Manages group calendar for team

  • Grows relationships with key organizational influencers and builds relationships with external partners (e.g., vendors, customers)

  • Contacts company personnel at all organizational levels to gather information for work, which is generally of a critical or confidential nature. Assignments may be found in various functional areas

The total cash range for this position in Seattle is $54,500.00 to $76,000.00. Employees in this role have the potential to increase their pay up to $87,000.00, which is the top of the range, based on ongoing, demonstrated, and sustained performance in the role.

Starting pay for this role will vary based on multiple factors, including location, available budget, and an individual’s knowledge, skills, and experience. Pay ranges may be modified in the future.
