Position Overview

The part-time Documentation Coordinator serves as focal point within Design Engineering and Documentation Control for documentation deliverables, both internal and external. Work shall be performed in accordance with customer order requirements, per development schedules and as assigned by the Design Engineering Manager and carried out with a sense of ownership and pride toward the output delivered to customers.

Duties and Responsibilities

External Customer Deliverables:

  1. Complete all tasks associated with creating, preparing assembling, and shipping customer deliverable documentation packages which include:
    • Standard drawing packages
    • Specials and standard packages
    • Approval packages
    • Comprehensive customer manuals (drawings, product manuals, operation notes)

Major components of the process in the deliverables listed above include:

  • Reviewing SAP requirements to determine orders requiring deliverable & determining due dates
  • Creating and maintaining non-standard customer specific documents/ forms
  • Coordinate all tasks and information requirements to complete customer documentation
  • Printing & reviewing each order to identify documentation line items
  • Creating and maintaining "to do" list of orders
  • Creating raw content in MS Word to serve as Table of Contents and Transmittal Forms
  • Receiving documents such as drawings, Op Notes and RFP sheets from CAD personnel, Technical Writers, Design Application Engineers and Sales Support Engineering for input to customer deliverables
  • Assembling and packing deliverables for shipment or electronic submission (email, customers FTD Portals, etc...)
  • Closing out documentation deliverable line items in SAP

2. Prepare weekly report and submit to Design Engineering Manager listing documentation orders received, orders completed, and orders past due (all based on SAP dates)

3. Order and maintain inventory of materials (binders, tabulated pages, standard product manuals, etc) used in documentation deliverables

4. Maintain files of document masters

Internal Customer Deliverables:

1. Distribute drawings to internal customers as requested for custom and standard drawings, including Preliminary, Pilot, Shop Print and Final releases

2. Maintain associated information in SAP to support part requests and part information

3. Maintain drawings, ECN's, transmittals, files, etc

4. Maintain current drawing revisions in database and interface with CAD by updating Drawing Librarian

5. Maintain control of artwork, microfilm, mylar reproducibles and electronic drawing library

6. Scan drawings for digital storage

General:

1. Maintain integrity of all reproduction equipment for daily operation and serve as interface for service

2. Order reproduction supplies and maintain sufficient inventory to meet deliverable requirements

3. Perform other duties as assigned

Skills and Experience

High school diploma or equivalent. Some college. Five years experience in an office environment. Exceptional organizational skills. Strong written and verbal communications skills. Must have the ability to work and reason independently and adapt quickly to changing schedules and requirements. A commitment toward meeting deadline dates. Proficient in word processing and spreadsheet software, preferably Word and Excel. Typing speed of 40 wpm. Must also interface well with others.
