
Executive Assistant
FULL-TIME - CROWN MELBOURNE
The Executive Assistant is responsible for providing a high quality, efficient, effective and professional administrative and project support to the General Managers within the marketing department. The Executive Assistant is directly responsible for coordinating communication, meeting and calendar management, follow ups, project implementation, general office management and ad-hoc business requirements identified by the General Managers. This role requires strong administrative skills, an ability to work to tight deadlines, ability to maintain confidentiality as well as managing workflow priorities.
Some responsibilities of the role will include, but are not limited to:
- Ensure effective coordination and management of schedules, arranging meetings and related room or technology requirements and completing end to end bookings for all travel arrangements.
- Assist with flow of correspondence and communications between the senior leaderships team, dealing with routine correspondence and ensuring phone and written communications.
- Retain financial records for travel reimbursements and credit card expenses and arrange relevant processing
Provide documentation and version control for policy and process updates, ensure legacy processes are removed as identified.
- Perform general office administrative duties as required, including the ordering of weekly fruit/snacks/beverages, kitchen supplies, ordering of office supplies and equipment
- Arrange system access for new team members, such as email and computer access.
- Consistently seek to develop a trusting relationship and working rapport with team members and internal customers and stakeholders and ensuring a positive and proactive approach to work

The following criteria will be considered when reviewing applicants:
- Certificate III or IV in Business Administration or equivalent experience.
- Strong administration background and experience
- Previous experience working with senior management
- Proven ability to work in demanding situations with commitment to deadlines and timeliness activities
- Ability to work autonomously
- Experience and proficiency with Work Site (iManage), Microsoft Office 365 (SharePoint & One Drive) and Adobe Sign would be highly regarded
