About you
Your experience
- Must have a minimum of 5 years previous experience in a corporate administrative role, preferably within the finance or asset management industry.
- Strong experience in coordinating complex travel arrangements, including booking flights, accommodations, and managing travel itineraries (domestic and international).
- Extensive experience with calendar and inbox management.
- Excellent organisation and time management skills, with a keen attention to detail and the ability to handle confidential information with discretion.
- Demonstrated ability to organise and prioritise tasks and work with minimal direction
- Strong interpersonal and communication skills, both written and verbal.
- Ability to build effective relationships and rapport at all levels.
- Willingness to go beyond the job description to support team activities, managing multiple priorities while staying one step ahead.
- Capacity to manage multiple tasks simultaneously, prioritise effectively in a fast-paced environment, and working to tight deadlines.

Your skills
- Proficiency in Microsoft Office Suite (Advanced Outlook, Intermediate Word, Excel, PowerPoint).
- Experience with calendar management tools and scheduling software.
- Familiarity with travel booking systems and expense management software.
- Ability to quickly learn and adapt to new software and technology tools.
- Good knowledge of IT systems and the ability to troubleshoot minor technical issues.
- Great communication skills, both written and verbal.
Your day-to-day
- Provide administrative support to Investment Heads and their teams, including managing calendars, scheduling global meetings and coordinating with internal and external stakeholders.
- Coordinate travel arrangements, both domestic and international, including booking flights, hotels, and transfers, organising visas and ensuring all details are accurately added to travelers' diaries.
- Prepare and format a variety of documents, including Word documents, PowerPoint presentations, client correspondence and reports, ensuring they adhere to brand guidelines and maintain high accuracy.
- Organise and manage meeting rooms, guest registration and assist with catering arrangements.
- Plan and execute team events, including logistics, invitations, and on-the-day coordination
- Expense management including invoicing.
- Facilitate the onboarding process for new team members and the offboarding process for departing colleagues.
- Collaborate with other assistants within the wider company to ensure coverage and promote a collaborative working environment across teams.
- Maintain and update registers, systems, and documents related to employee or client information.
- Perform adhoc administrative duties, such as maintaining the floor, building maintenance requests as required, ordering stationery and supplies.
