We have an excellent opportunity for an experienced and professional Executive Assistant to join our Sydney team.
Supporting our Australia and New Zealand CEO for a period of 12 months with possible extension, you’ll have previous experience working at Managing Director / CEO level with a minimum of 5-10 years within an Investment Bank or other professional services environment.
You’ll have a logical approach to time management and organization with an ability to multi-task, together with exceptional attention to detail whilst being cognizant across all responsibilities and expectations of the role.
A strong focus on client engagement, together with global internal stakeholder management requires your nimble approach to an ever-changing diary across multiple time zones.
You will have solid experience across travel management, expense management, events and reporting requirements. Your ability to prioritize whilst using strong initiative and sound judgement will also ensure our client needs are fully supported. You will require minimal direction with the ability to navigate and resolve sometimes complicated paths whilst delivering on all responsibilities.
You will be a strong communicator yet understand the highly confidential nature of this role. Your team orientated personality will play a key part in working with the broader Executive Assistant population both in Australia and offshore. You will be managing a multitude of responsibilities, people and timeframes, whilst being adept across tech, policies and procedures in a fast-paced environment.
Reporting into the Business Support Manager, you’ll be reliable and motivated, and demonstrate flexibility with a ‘can-do’ attitude.
Job responsibilities
- Maintain complex and detailed diaries across multiple time zones
- Manage the coordination and logistics of all meetings
- Screen incoming calls and determine the level of priority, while using caution in dispensing information
- Arrange and coordinate complicated domestic and international travel
- Process invoices and expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures
- Work cooperatively with other Executive Assistants across the group, in positive partnership to support each other smoothly
- Lead and coordinate on ad hoc projects as requested
Required qualifications, capabilities, skills
- Minimum of 5 – 10 years’ experience in an Investment Bank, Financial Institution or Professional services environment an advantage
- A clear thinker who can demonstrate logical outcomes with strong problem-solving skills
- Excellent communication skills, both written and verbal
- Excellent organisation and time management skills with strong attention to detail
- Ability to work with and manage change
- Ability to demonstrate the utmost discretion and professionalism
- Ability to build strong relationships, with good listening and influencing skills
This role is intended to be for an initial term of approximately 12 months only, however, subject to business needs, the contract may be extended or converted to permanent employment.
