This role has 2 key components, to provide support to the VP of Talent Acquisition and Senior Leadership team members, and to support with the UK Executive Administration Talent Acquisition Team.
Provides diary and administrative support to VP for Talent Acquisition and 2 Senior Directors:
Responds on behalf of the VP to different stakeholders maintaining high professional standards whilst meeting conflicting needs
Coordinates internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
Performs other administrative tasks using independent judgement and discretion
Prepares documents, presentation materials and official information releases and distributes to required stakeholders
Sits within and collaborates with the HR PA network to successfully support HR
Raises purchase orders and submits expenses on behalf of VP for Talent Acquisition
Managing complex travel (including visa arrangements)
Creates and maintains key documents for the department e.g. Carbon Emission tracking and Organisational Charts
Provide a high-level service of administrative tasks for Executive level hiring (Career level G & above):
Liaising with stakeholders; senior leaders, TAq partners and candidates
Complex global interview scheduling
UK contract and supporting letters generation, including complex offers and collaboration with the Legal & Reward teams and stakeholders
Responsible for onboarding tasks from offer stage, through to day 1. This includes obtaining background and health screening, working with MyHR, Immigration checks, relocation requests, day-1 preparation and other bespoke requests
Acting as a main point of contact for key stakeholders through the end-to-end recruitment process
Supporting with UK Right to Work documentation approvals p in place and in line with UK Home Office rules. This includes liaising with TAq Partners and V&I team to resolve any issues pre to Day-1
Provide support for the BPRD and UK Hub TAq lead, including owning the team newsletter, organisation of team meetings, project support & tracking team responsibilities. Also, expenses and travel management.
Key contact for providing a range of other administrative tasks for the wider TAq team and CoEs on an ad hoc basis, including project coordination, process improvements, generating reports, travel and PowerPoint presentations
Raising PO Numbers for UK TAq as required
Supporting with UK NEO as required
Education, Qualifications, Skills and Experience
Essential:
Strong administration background
Interview scheduling across different time zones
Strong attention to detail
Ability to prioritise and multitask
Experience of managing complex travel itineraries
Diary management and scheduling
Strong communication skills and ability to work with senior stakeholders and candidates
Advanced IT skills
Desirable:
Educated to Degree Level or equivalent
