Main Duties and Responsibilities

This is an exciting opportunity for you to take on a challenging, proactive and varied role within the international region’s Medical Affairs team.

Providing comprehensive PA support to VP, International Medical and working with her respective teams to provide general administrative support and team coordination to deliver key projects and be involved in the planning and delivery of important regional, functional and team-related activities.

The ability to prioritise, identify and seize opportunities to improve effectiveness and efficiency of team ways of working across the International Medical team is essential. The ideal candidate will possess a high level of organisational and communication skills and also pride themselves on their attention to detail and the ability to persevere to see all tasks through to completion. This is a complex and busy role with plenty of variety to keep the right individual engaged and motivated.

Where your workload allows, you will also have the opportunity to support the team by taking on project-based work that can vary in nature, from events to metrics reporting and offering the chance to gain experience in new areas.

Often working independently and in a fast-paced environment, you must be able to respond to changes in customer and stakeholder demands with composure and have the flexibility to adapt to changing situations. A consistent focus on high work quality is important in all aspects of the work.

Activities include:

  • Proactive diary management and team project coordination for the VP, International Medical.

  • Proactive planning of travel arrangements, including flights, accommodation, airport transportation, car bookings, trains, visa requirements etc. (preparing travel packs / itineraries where required).

  • Preparing agendas, presentation materials and other relevant documentation, as necessary ahead of meetings.

  • Collating and processing of expense claims within set group timelines and ensuring compliance with the expenses policy.

  • Organising internal/external meetings including room bookings and catering arrangements, coordinating global conference calls / video conference calls.

  • Supporting department updating and maintaining all distribution lists, organisational charts and other relevant documentation.

  • Working with the International Medical Operations Team to harmonise processes and provide support where necessary across the organisation, such as holiday/sickness cover as required.

  • Co-ordinates and collates detailed information with effective and clear communication to relevant stakeholders.

  • Controls small projects under general guidance ensuring delivery of project outputs according to plan, reviewing and refining plans as necessary

  • Understand and at all times adhere to the AstraZeneca Global Code of Conduct, AZ and Global policies.

Essential Skills:

  • Previous experience of providing full PA/administrative support at a senior level.

  • Confident and experienced using Microsoft Office, Zoom Webinar, Teams and a wide variety of technology and IT software.

  • Excellent written and verbal communication skills.

  • Excellent administrative, time management and organisational skills.

  • Collaborative team player, with excellent interpersonal skills.

  • Excellent project management skills with demonstrated ability to effectively manage multiple priorities.

  • Have high levels of resilience and be self-motivated.

  • Excellent team working, networking and influencing skills and ability to engage relevant AstraZeneca staff and leaders in developing solution.

  • Ability to work autonomously with independent judgement and discretion, and handling confidential information where applicable.
