As a Business Unit Administrator in the Oncology Business Unit, you’ll play a pivotal role in channelling our scientific capabilities to make a positive impact on changing patients’ lives.
Accountabilities
Individual Director support
Provides proactive administrative support to Business unit Franchise Head:
Comprehensive diary management, to ensure that efficiency and time management is maximised. Prioritising and managing complex diary arrangements, giving Business unit Franchise Head advance notification of their commitments, keeping them updated about changes and ensuring follow up of actions from meeting minutes in appropriate timescales.
Organises internal and external meetings, room bookings, hospitality etc on behalf of Franchise Head.
Researches travel and accommodation options, agrees and organises most effective option and produces detailed travel itineraries. Proactively re-organises travel and accommodation in response to diary changes ensuring all internal travel is approved by Business Unit Director.
Prepares Expenses submission on behalf of Business unit Franchise Head and ensures spend is in line with UKMC T&E policy highlighting non compliance.
Understands priorities and escalates any issues arising to appropriate personnel in Business unit Franchise Head’s absence.
Team support
Franchise Leadership Team Meetings – schedules dates, works with floating chair to set agenda, liaises with speakers, attends and participates in Leadership meetings, assists Leadership as required with specific actions.
Acts as point of contact between Business unit Franchise Head and Heads of Department.
Acts as Subject Matter Expert (go-to person) on systems such as Concur, HCP payments and Sponsorship payments to provide first line support to local users within the business Unit, escalating via the approved channels if required.
Single point of contact for new starters who require access and training on use of global systems
Ensures the Business unit is compliant with all company policies and local guidelines.
Communicates regular policy/process updates to the team when required.
Provides comprehensive support in setting up virtual meetings/Teams and maintain high level knowledge of advances in technology and updated processes.
Organises and maintains accurate Business unit e-mail distribution lists (except Brand Teams).
Organises, maintains and posts accurate Business unit organograms; liaises with PA for CP to ensure regular updating of business wide organograms.
Co-ordinates Franchise Team Meetings, arranging venues, facilities etc.
Helps manage on-boarding of new starters and be the point of expertise on iBuy for immediate team including review and flagging of outstanding work flows/cost commitments to relevant team members.
Be part of the OBU admin team, meet regularly to share best practice, updates and ways of working.
Project Management
Supports, leads and/or delivers projects that are aligned with Business Unit annual objectives.
Project manages the delivery of agreed interventions.
Track delivery and ensure progress v plan is communicated to all stakeholders.
Identifies and implements opportunities for new administration systems and processes to maximise office efficiency.

Track record of providing effective administrative support at Director level.
