Monday to Friday 08.30 - 16.30 35 hours per week
£25,355.00 per annum
Working within Vaultex policies and procedures, and under the direction of the Site Manager, the Administration Supervisor will provide appropriate line management and direction to the Administration team.
Responsibilities
Lead the administration team to achieve team and Centre service and financial goals, ensuring that any management duties are carried out and any failings within the team are dealt with appropriately by liaising with HR. Ensure that the team is multi skilled to provide cover for all roles and maximise flexibility within the admin team. Conduct quality performance management of employees within area of responsibility to ensure a high standard of engagement, performance and compliance to procedures. Ensure that all return to work interviews are carried out correctly and within the required timescales. Ensure that support is provided to the Customer Service team to ensure that they meet or exceed agreed customer service levels and consistently promote a professional image to all customers. In relation to operational/ risk control; adhere to company procedures and policies and Bank of England rules. Support the stock take process within the Site and ensure that all post stocktake paperwork is completed accurately and on time. Ensure that all paperwork relating to the compliance of CCS Sox is completed accurately, ensuring that deadlines are met. Manage the queries account and investigate differences appearing on the watch list. Ensure that all duties including NCS are completed to meet deadlines and accurately authorise difference write offs. Present regular briefings to team members ensuring opportunity for feedback and understanding of presentation and ensure that any communication issues raised are addressed. Other general duties as delegated by the Site Manager to include:
- Identification, investigation and solving of problems.
- Other Reporting Requirements as requested.
- Internal Operational Audits.
- Checking of departmental Controls and Checks.
- Control of petty cash.
- Management of the post in accordance with procedures.
- Manage housekeeping in own area.
- Control stationery in own area and support the control of stationery within the site.
- Ensure the correct input and management of proactis and purchase orders.
- Any other reasonable duty as delegated by the line manager
Knowledge, Skills and Experience Needed for the Job
- Time Management skills; organisational skills; operational knowledge and experience
- Leadership, influencing and communication skills (verbal & written)
- Customer service skills and experience
- Computer literacy – knowledge of CCS, Excel and Word
- Literacy and Numeracy skills
- Knowledge of NCS and reconciliations
- Demonstrable experience as a supervisor or team leader within a Cash/Coin Centre or similar production orientated environment.
