Meaningful Work From Day OneThe role of the Wine Production Assistant is to provide departmental administrative support under the direction of the Production Manager. The Wine Production Assistant is accountable for coordinating and successful completion of processes outlined in the responsibilities of the role, keeping accurate records, conducting training as specified, providing support for various projects, planning, and organizing, and efficient communication with employees, departments, and outside vendors. The position will interface with various departments which include Health and Safety, Operations, Laboratory, Purchasing, Winemaking, Human Resources, and Maintenance.
What You Can Expect
Health and Safety (50% during the non-harvest period approximately 9 months of the year)
Manages the Safety Contractor Program under the direction of the Health and Safety Manager
Provides general safety administration support to the Safety department
Coordinate Safety training and generate communication and related documentation in accordance with the training
Internal trainer for all PIE required training (Forklift, Boom Lift, and other relevant Power Industrial Equipment)
Print, laminate and replace Job Risk assessments and LOTO procedures, and other work instructions as required
Coordinate logistics for safety training for employees, and supervisors as needed
Prepare/Translate documents and provide training as needed in English and Spanish
Schedule annual employee audiogram testing, and timely provide unopened test results to the local H&S and HR Manager
Under the direction of the H&S Manager ensure all required EHS training for all employees in the Winery Operations Work Unit are up to date, and accurately entered in the internal safety training safety tracking database
Conduct Monthly Safety Walk-through with technician participation; communicate findings to the technicians, record findings in Salesforce and E-maintenance when applicable
Attend and actively participate and support the Winery Operations Safety Committee Meetings, provide support to the Production Manager when evaluating improvements needed
Work with H&S Manager to maintain an inventory of PPE required for Technicians in the Wine Operations Unit to ensure PPE supplies are ordered in a timely manner, evaluate the cost of items by comparing vendors and selecting the most cost effective and efficient orders
Supports H&S Manager by providing support at the Safety Table during events for employees
Coordinate and keep accurate records of calibration instruments
Communicates with Supervisor/Leads to minimize disruptions to the production activities related to training and other required activities
In conjunction with the Production Manager, Supervisor, and Wine Operation Leads coordinate Cellar/Bottling SOP’s training programs and generates documentation in English and Spanish when required. When updates and/or changes take effect, or when new documents are created and ensures training for Technicians takes place capturing the status of such documents
Recordkeeping and Clerical Duties (50% during the non-harvest period approximately 9 months of the year)
Updates Winery Operations Records Bottling Efficiency Sheets, Attendance Records, and other records as assigned by the Production Manager
Creates Blanket PO’s from Coupa for the current fiscal year
Under the supervision of the Production Manager orders chemical supplies and other required supplies in a timely manner
Timely coordinate the scheduling of equipment rental, repairs as directed by the Production Manager (scale house rental, forklift rentals, and related)
Generates required personnel documentation under the direction of the Production Manager (Personnel action forms, work shift changes, and related)
Responsible for ordering cellar supplies (i.e., Safety and Sanitation Supplies, Cellar Chemicals), creating purchase requisitions, code invoices, drafts capital requests documents
Assist with gathering quotes for vendors as requested by the Manager
Works as a liaison facilitating personnel documents (such as action forms, personnel requests) and coordinates staffing needs with outside vendors.
Coordination of employee events for successful execution (i.e., harvest breakfast kick-off, appreciation lunches for seasonal workforce, departmental team building offsite luncheon)
Primary contact for work schedule for Sorters, Forklift drivers, and harvest hires
Provides work training, reviews attendance, communicates safety initiatives, and accurately captures and shares worked hours to the Production Manager
Harvest Duties (Approximately 3 months of the year)
Communicates, and performs recordkeeping of meal-break waivers
Keep close communication with HR and Payroll regarding employees’ changes in shift, positions, and assignment completion to support accuracy in payroll records/system (Workday)
Works closely with HR Manager to ensure successful onboarding by having accurate records, clear and timely communication with the HR department, Operations, and candidates
Enter Daily Press Reports in Vintrace to make gallons and blends available for other Vintrace work order entries
Close communication with grape receiving employees, Lab, and Operations when discrepancies are noticed. Promptly communicates and resolves discrepancies with internal business partners for quick resolution
Supports during harvest talent acquisition
Scale house operation lead and/or backup
Data entry for Vintrace and other required applications for harvest-related activities
Purchasing and distribution of daily snacks for Winery Operations Workforce
Coordination and communication of required safety training for seasonal workforce
We Are Looking For People Who
Have High School Diploma, GED or equivalent and 2 years of administrative experience in a winery/production environment or two (2) years of direct hands-on winery experience
Bilingual English and Spanish required
Strong knowledge of commonly used concepts, practices, and procedures within a winery production environment
Computer system knowledge, Gmail, Microsoft. Ability to learn databases and perform accurate data entry
