We’re NFP, a six-time Best Places to Work award winner in Business Insurance for 2017-2022 and we're looking for a Hospitality Coordinator to join our team who'll be responsible for providing a best-in-class hospitality experience to external clients, business partners, and NFP employees. This role requires a pleasant demeanor, initiative, resourcefulness, an outgoing attitude, and a team-based mentality.
This position will be 100% On-Site
Essential Duties and Responsibilities
- Internal & external event liaison and events budget management.
- Communication and relationship liaison for all vendors and partners engaged in the event planning process.
- Partner with the marketing and production team to ensure a seamless invite process in place for each event.
- Client & employee corporate gift management & execution.
- Office management and front desk presence.
- Execute overall hospitality management.
- Owner of internal communications regarding event preparation, coordination, and engagement with the leadership team and production team.
- Management of the corporate calendar.
- Build relationships with community members to support our engagement in external events not owned by the NFP team.
- Support the VP of Experience on all internal events for employees, including securing sponsorships, and budget management.
- Adheres to set budget.
- Ownership of communication with the internal team regarding all requests.
- Proactive in setting employee celebrations for life milestones (i.e.: weddings, family expansion, etc.)
- Day-to-day office management and daily front desk in-person presence.
- Daily, weekly, and monthly tasks for the overall care of the physical space and supply stocking.
- Management of office-related vendors and partnerships.
- Onsite leadership support for a variety of tasks (i.e.: mailings, administrative support, etc.).
- Provides support to the VP of Experience to create an environment where clients, prospects, and colleagues feel cared for and supported.
- Management of hospitality calendar.
- Ensures catering and hospitality support are managed and communicated with internal team members.
- Consistent engagement with the production and services teams to proactively support client and prospect hospitality needs.
- Proactive management and communication of all events on our corporate calendar; both internally and externally.
- Coordination with production, client, and leadership teams to stay ahead of client events, prospect events, and sponsored events.
- Ensure invites for all events are managed in coordination with the marketing team.
- Performing work with attention to detail in a fast-paced office environment.
- Interacting with others in person, via phone, and through email.
- Being sensitive to NFP’s needs, employee goodwill, and public image.
- Occasionally reaching, pushing, and lifting (up to 10 pounds)
- Sitting for long periods of time
- Performs other duties as assigned.
What We’re Looking For
- Responsive to last-minute hospitality needs by maintaining a front desk presence
- Strong verbal and written communication.
- Utilizing technology, (i.e., computer, printer, business software, and phone).
Education and/or Experience
- High school graduate or an equivalent required.
Certificates, Licenses, Registration
- License is generally not required at this level but may be required per state law.
