Summary of Role:

The Admin/Executive Assistant will support a Managing Director in our Retirement and Wealth Management division. In this role, you will be responsible for enhancing the Managing Director’s effectiveness by performing a wide variety of complex, diverse, sensitive and confidential administrative functions while providing overall gatekeeping and information management support. You may also provide periodic support to others on the management team as required.

This is a full-time position working from any of the listed East Coast offices. We are flexible in offering a hybrid or remote schedule. There will be periodic projects requiring in-office presence, thus you must be within commutable distance to one of the posted offices.

Essential Duties and Responsibilities:

  • Act as gatekeeper to the Managing Director and understanding priorities in the organization
  • Maintain heavy, complex and frequently changing calendar and email management
  • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, and arranging lodging and meetings accommodations
  • Coordinate meetings and appointments as directed by the Managing Director, reserving meeting space, and preparing the conference room with audio-visual technology as needed
  • Process expenses and reporting
  • Work on quarterly projects, assist with database updates, and coordinate projects with various teams
  • Provide a high-level of administrative support to the Managing Director
  • Schedule all internal and external meetings and coordinate logistics
  • Coordinate all aspects of appointments, meetings, and conference calls
  • Prepare and review materials and correspondence for meetings
  • Compile and modify presentations, spreadsheets, and other various documents
  • Ensure data accuracy in company records by regularly and routinely updating business contacts, client and vendor information in Salesforce and maintaining files according to company complaint procedures
  • Handle all confidential business matters and works independently on special assignments
  • Participate in regular departmental meetings and training and development sessions as directed
  • Client onboarding, including, but not limited to coordinating contract signatures, organizing payment through Vendors, setting up database records, etc

Knowledge, Skills, and/or Abilities:

  • Must have the ability to interact diplomatically and professionally, while maintaining the highest level of confidentiality
  • Excellent written communication skills – writes clearly; edits work for spelling and grammar; varies writing style to meet needs; presents numeric data effectively; able to read and interpret written information
  • Be a self-starter and have the ability to make sound independent decisions
  • Ability to successfully interact with a variety of people/personalities
  • Exceedingly well organized, flexible and able to prioritize in a time-sensitive environment is key. Must-have comfort with quick-changing deliverables
  • The ability to manage multiple priorities and calendar requests to ensure each meeting is given the proper prioritization
  • Must have an eagerness to learn and to support
  • Must be a power user in Microsoft Outlook, Word and PowerPoint, and proficient in Excel (VLOOKUP, pivot tables, create graphs and formulas)

Education and/or Experience:

  • Bachelor’s Degree preferred. HS Diploma or equivalent is required
  • 3+ years’ experience as an Administrative or Executive Assistant or a related role, preferably in Financial Services, Wealth Management or Insurance

The base salary range for this position is $55,000 – $95,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
