Summary of the Role: The Office Administrator plays a vital role in supporting third-party administration (TPA) operations by managing pension administration tasks, coordinating projects, and ensuring seamless communication between teams, clients, and accounting. Responsibilities include onboarding and maintaining client accounts, generating reports, handling mass email projects, and monitoring retirement-related correspondence. For this full-time opportunity, you will be required to attend the office full time.

Essential Duties and Responsibilities:

Pension Admin Team Support:

  • Coordinate the development of new projects.
  • Serve as the internal expert and trainer.
  • Develop reports and provide support to the team and management.
  • Onboard new accounts and process updates.
  • Ensure the complete setup of accounts and plans.
  • Manage mass email projects.
  • Maintain and update the team calendar for key events

Accounts Payable Support:

  • Deliver signature-ready materials to clients and prospects via the office portal.
  • Monitor and follow up on unsigned packets.
  • Oversee billing coordination, including departmental ad hoc billing collection and submission.
  • Act as the liaison between the team and accounting.
  • Generate revenue reports from various platforms.
  • Coordinate asset payments from plan accounts.
  • Prepare and deliver service agreements.
  • Annually update administrator contacts across recordkeeping platforms and ancillary partners.
  • Monitor and manage the retirement email account.
  • Communicate internal work freeze and work stop updates.
  • Manage asset statements, scanning, and filing.
  • Ensure the team is added as an interested party on relevant accounts.
  • Manage office mail and distribution.

Knowledge, Skills, and/or Abilities:

  • Manage office supplies, equipment, and vendor relationships.
  • Stay current with technology and identify more efficient processes.
  • Develop and maintain MS templates and Adobe forms.
  • Optimize software functionality to better meet team needs.
  • Assist with client outreach, including cards, gifts, and special events.
  • Support event planning, including scheduling and coordinating food and supplies.
  • Handle inbound and outbound mailing/shipping at least two days per week.
  • Perform general filing and shredding tasks.
  • Complete additional duties as assigned by management

The base salary range for this position is $45,000– $50,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
