Business Operations Associate
As theCommunications and Time Managementteamcontinues to grow,we are looking for a motivated individual who can bringexcellentbusinessoperationsand executionsto theorganization.This position requires extensive cross-group coordinationand communication, andtheability to manage high volume on short deadlines.
In this role, you will be responsible fordelivering operational efficiencies,executing and improvingorganizational processes, leading of special projects as needed for the CVP/organization andpartneringwithProcurement, BusinessSupport,Global Talent Acquisition teametc.The best candidate will possess a natural business curiosity, be detail orientedand enjoy working with data and reporting. Theywill alsobedriven, organized,and haveastrong mentality forfollow-through mentality.
Responsibilities
MaintainingPCN(Position Control Number)Cost center and requisition hygiene across Americas
Create an audit report to track PCN changes and distribution across org.
PCN clean up: partner closely withBusinessSupport and Business Managerson managing PCN attributes across org.
Cost center alignments for all positions across Americas.
Requisition hygiene:
- Ensuringrequisitionis open on time acrosstheorganizationfor timely recruitment.
- Include PCN withrequisitionand highlight key action itemsto GTA and managers.
- Requisitionsthat are open for more than90days with no recruiting activities - follow up with managers on the status.
- Incremental PCNs and Re-org PCNs
Follow up with the team to make sure that the PCNs are mapped to thecorrectcostcenter and projects.
- Follow up with finance that they approved the changes.
Manage procurement ofhardwareandregularsoftwarelicensesfor the team
Document hardware specsand standard software licensesacross the teams.
Working with Business Manager to create hardware forecast needs and liaise with multiple teams/suppliersacross Americas andtimelyopeningofPurchase Order (PO).
Follow upwithprocurement/supplier for timely shipment of hardware.
Follow upwithITand facilitiesfor timely delivery of hardware to employees.
Asset Management
Work with BusinessSupportto set up process to record hardware assets/inventoryacross teamsin Americas.
Set up a process for hardware refresh schedule.
Liaise with ITand facilitiesforrecycleprograms.
Support/administrationforEmployee Experience andOnboarding programswhicharedriven byEmployee ExperienceBusiness Program Manager:
- Pulling report andmaintain new employee tracking.
- Sending inviteandsupport with eventlogistics for various employee experience programsthatareplanned byBPM.
- Manage organization distribution lists thatrelateto employee experience and onboarding program.
Point of Contact for UR candidate placement in various HR and GTA systems.
Identify potential local suppliers in LATAM and Canada for future needs on swag etc.; work with procurement to place necessary documentation to be compliant.

Qualifications
- Minimum of 3+ years’ experience in tech industry
- Minimum of 3+years experiencein business support/ operations management
- Proficiency with tools andreporting (excel as minimum)
- Experience in collaboratingwithexpanded stakeholders and partners.
