The mission of the Infrastructure for Privacy, Compliance and Trust (ImPaCT) organization is to enhance confidence in Windows & Microsoft across our customers and business partners. The Windows, Browsers & Devices Privacy Team is chartered with delivering trustworthy, privacy enabling software and enhance our customers’ experiences by driving clear privacy choices into our products and by driving transparency into our data handling practices. The teams across the E+D division and the company. We are looking for an experienced and highly motivated Business Administrator to join this team. This role will support the Windows Privacy Director and PM leaders as well as provide team support.
Responsibilities
- Proactively and efficiently manage the complex calendar of the Privacy Director and help prioritize meetings based on business needs resulting in the manager staying focused on their business priorities, working efficiently, and ensuring they are fully prepared and on-time for appointments. Understanding the manager's priorities to request, accept, reschedule, and decline meetings as appropriate. Includes outstanding communication to teams.
- Manage budget processes: producing reports, planning, manage and track operating expenses for the teams including vendor services and PO management. Procurement of goods and services including computer equipment, office supply, reference materials and facility requests.
- Assist with all meeting logistics, small to large events and other ad-hoc administrative tasks.
- Provide team support including headcount management, budget, morale events, catering and meeting set up.
- Maintain accuracy of complex data by using Microsoft systems and tools to meet compliance standards.
- Schedule customer, partner, employee morale, all hands, off-sites etc.
- Plan & coordinate domestic and international travel from end to end, including the proactive anticipation of all logistics and itineraries, as well as the reconciling and submission of expense reports.
- Reconcile, submit and review expense reports in compliance with MS Policy.
- Proactively provide administrative and staffing support to the team, including but not limited to space, tracking assets, procurement, headcount management, new/internal onboarding and setup (office, equipment, etc.), and event management.
- Maintain group information with confidentiality and integrity. Use discretion to make decisions within your area of responsibility.
- Build and maintain good business relationships with Director level and counterpart administrative staff both internally and externally.
- Work as part of a strong admin team to manage the needs of the overall organization.
Qualifications
Minimum Qualifications
- 5+ years of Administration Experience.
- 5+ years of Microsoft Office experience (Outlook, Word, Excel, Power Point, OneNote, Visio, SharePoint, Teams).
Other Qualifications:
- Minimum of 3 years of demonstrated work experience in a fast-paced administrative capacity supporting Directors.
- Proactive in anticipating manager needs and able to work independently to make administrative decisions and possess maturity.
- Ability to effectively manage a high priority and time sensitive workload with a calm, confident and positive attitude, ability to work independently, deal with ambiguity and have a passion for making managers and organizations great.
- Knowledge in internal applications including Employee Central, HR Insights Catalog, iCIMS, HeadTrax, MSExpense2, MyOrder, IDWeb, MS Space and Concur travel tool.
