The Opportunity
Due to continued strong growth, we are looking to complement our pre-established team with the addition of an experienced Senior Document Controller for our South Australian construction business. Reporting to the Design Manager you will oversee the organisation and management of critical project information (documents, records and correspondence), ensuring accuracy, compliance and accessibility.
Key accountabilities:
- Setting up the Document Control/Information Management team for projects across South Australia
- Establish, implement and maintain the information/document control management (IDMS) system, Team Binder utilising system tools such as iTWOcx and SharePoint(design) and iTWOcx (delivery), ensuring the successful delivery of the project through Tender, Design, Construction, Handover/Completion
- Implement and maintain efficient information management and document control processes, including version control, change management and record keeping.
- Collaborate with cross-functional teams to facilitate document approvals, review cycles and distribution.
- Conduct regular audits to ensure adherence to information management/document control policies and procedures.
- Train and mentor information management/document control team members, providing guidance and support.
Key Responsabilities:
- Development and implementation of information management and document control processes and procedures to ensure consistency and compliance.
- Oversee the organisation, classification and storage of project information (documents, records and correspondence)
- Maintain iTWOcx and SharePoint for final and working information management, storage, retrieval and control.
- Establish and enforce document naming conventions and file structures for easy navigation and retrieval.
- Monitor document lifecycles, including creation, revision, distribution, and archiving.
Required skills and Competencies:
- Qualifications in Business Administration, Quality Management and Assurance
- Minimum 5-7 years' experience in document control, preferably as a Senior Document Controller
- In-depth knowledge of information management and document control principles, standards and best practice
- Proficiency in collaboration software and tools, i.e. iTWOcx, Aconex, Team Binder, SharePoint, etc
- Strong understanding of regulatory requirements and compliance
- Excellent organisational and time management skills
- Exceptional attention to detail and accuracy
- Strong analytical and problem-solving skills
- Effective communication and interpersonal skills
- Ability to work collaboratively in cross-functional teams
