About the role
The Western Renewable Link (WRL) is one of Victoria’s major transmission projects and a critical part of the state’s energy transition.
As a Senior Document Controller, you’ll play a key role in supporting the Document Control Lead taking ownership of coordinating daily workflows, maintaining high standards of quality and compliance, and supporting the ongoing use and administration of the project’s electronic document management system (Aconex).
You will be relied upon for your technical knowledge, your ability to work independently, and a solutions-focused approach to managing incoming requests. This role does not include formal people management, but requires strong communication and the ability to guide others in best practice document control.
Key Responsibilities
- Act as the first point of contact for day-to-day document control queries from the DC team and the wider project team, escalating only where necessary.
- Coordinate daily workflows to ensure documentation is processed efficiently, accurately and in line with project requirements.
- Maintain and administer the EDMS (Aconex), including user access, troubleshooting, and supporting system training for internal and external stakeholders.
- Register, track, control, file and archive project documents in accordance with approved procedures and submission requirements.
- Conduct routine quality checks and ensure compliance with project standards, document numbering conventions and workflow protocols.
- Compile and prepare document control reports, dashboards and status updates to support project reporting.
- Support the Document Control Lead in the implementation of new procedures, system enhancements and continuous improvement initiatives.
- Assist in project closeout activities, including assembling final deliverables and ensuring documentation is fully compliant and complete.
What You’ll Bring
You’re an experienced Document Controller with a strong grasp of EDMS and document management processes. You excel at maintaining accurate records, managing system access, and supporting audits and reviews. Highly organized and detail-oriented, you combine technical proficiency with clear communication and problem-solving skills. A collaborative team player, you thrive in dynamic environments and ensure quality, schedule, and compliance standards are met.
Qualifications & Certifications
- 7+ years of experience supporting the management of a records/document control program.
- At least 2 years’ experience with supplier/vendor data
- At least 2 year’s practical advanced experience using Aconex.
- Must have the right to work in Australia without sponsorship
Skills & Experience
- Must have project-based experience supporting a document/records management function with a focus on configuration of the EDMS, work processes, and coordination of project workflow with other entities. Experience must have been obtained with the past 7 years.
- Must have intermediate to advanced proficiency using standard office automation tools, including Microsoft Excel, Outlook, and Word.
- Must be able to organise and prioritise assigned document management tasks.
- Have strong interpersonal and customer service skills.
- Have ability to work flexibly and collaboratively across all levels of the organisation.
- Must be flexible and able to accept and quickly adapt to changes in work focus
