Purpose of the Role

BGIS is seeking an experienced Operations Administrator to support the coordination, accuracy, and ongoing maintenance of operational documentation across a large and complex government services portfolio.

Reporting to the HSEQ Quality Administrator, you will work closely with both client and BGIS teams to ensure documentation, reporting, and compliance requirements are consistently maintained. This role plays an important part in supporting smooth service delivery and informed decision-making.

The ideal candidate will be highly organised, detail-focused, and confident working with a wide range of stakeholders. You’ll bring a thoughtful communication style, patience, and the ability to navigate structured environments while maintaining a collaborative and solutions-focused approach.

Key Responsibilities

  • Maintain and update Site Operation Manuals (SOMs) to ensure accuracy, compliance, and accessibility
  • Manage document control processes, including coding, uploading, and filing in line with required structures
  • Support the coordination and upkeep of site safety documentation and registers
  • Respond to document requests, queries, and reporting requirements from internal and external stakeholders
  • Liaise with Facilities Managers, contractors, and vendors to obtain and distribute key documentation
  • Prepare reports, updates, and status tracking as required
  • Monitor document changes and identify opportunities to improve processes and consistency
  • Assist with maintaining system access, permissions, and document security controls
  • Contribute to a collaborative and well-informed working environment across teams

Education, Experience & Skills

Essential:

  • Experience in an administrative or coordination role, ideally within facilities management, construction, or a technical environment
  • Strong document control and organisational skills with high attention to detail
  • Confident using Microsoft Office (Word, Excel, Outlook) and document management systems
  • Clear and professional written and verbal communication skills
  • Ability to manage competing priorities and adapt within structured environments
  • Understanding of compliance frameworks such as QA, OH&S, or environmental systems

Desirable:

  • Experience with CMMS or similar maintenance management systems
  • Exposure to building services, facilities management, or technical environments
  • Qualifications in Administration, Business, or a related field
  • Experience with automation tools (e.g. PowerShell or similar)

Workplace Flexibility

This role is based on-site in Sydney CBD, NSW, with a hybrid arrangement of 4 days on-site and 1 day working from home once established in the role.
