About BGIS

BGIS is a global provider of integrated facilities management, delivering innovative and sustainable solutions to clients across various industries. We pride ourselves on our collaborative and inclusive culture, and on maintaining high standards of safety, quality, and service.

Purpose of the Role

BGIS is looking for a Business Administrator to support the contract team for a large social housing maintenance portfolio across New South Wales. Working closely with the Account Director and senior team, you'll keep the contract running smoothly by coordinating reporting, documentation, meetings, budgets, and a range of internal services, including fleet.

This is a varied role that suits someone who enjoys a bit of everything. One day you might be pulling together monthly reports and recommendations, the next you could be organising senior meetings, processing invoices, or sorting out fleet requirements.

The ideal candidate will be organised, personable, and self-motivated, with excellent communication skills and an easy going nature that helps you work comfortably with a wide range of personalities. You'll be at ease coordinating busy senior colleagues and keeping everyone on track.

Key Responsibilities

  • Collate monthly reports and other reporting, providing insights and recommendations.
  • Organise and coordinate meeting schedules, including senior team and client meetings.
  • Manage fleet services and coordinate travel arrangements.
  • Process spend through Coupa, monitor stationery budgets across three sites, and submit invoices for payment.
  • Prepare documents, presentations, and contract documentation.
  • Maintain SharePoint filing and information in line with BGIS systems.
  • Support statutory requirements, insurance, and contract tasks as needed.
  • Coordinate with subcontractors and respond to client enquiries.
  • Build positive relationships with clients, stakeholders, and colleagues across different teams.
  • Support WHS, quality, and environmental compliance, including supporting the Training and HSE team.

Education, Experience & Skills

Essential:

  • Strong experience in a similar administrative or contracts support role.
  • Advanced Excel and Word skills, along with Outlook and internet based tools.
  • Experience preparing reports and making practical recommendations.
  • Excellent written and verbal communication skills, with the ability to engage stakeholders at all levels.
  • Strong organisational and time management skills, including coordinating busy calendars and meetings.
  • A self-motivated approach and comfort working across different teams and priorities.
  • Understanding of QA (ISO), WHS, and environmental systems.
  • Higher School Certificate or equivalent.

Desirable:

  • Experience coordinating fleet or travel services.
  • Experience using Coupa or similar procurement platforms.
  • Technical knowledge in building, facilities maintenance, project management, or services engineering.
  • Familiarity with CMMS platforms.
  • Training in WHS, QA, or environmental disciplines.

Workplace Flexibility

This position is based at our World Square office in Sydney CBD, close to public transport, cafés, and local amenities. Following probation, you'll enjoy a hybrid arrangement of four days in the office and one day working from home.
