About BGIS

BGIS is a global provider of integrated facilities management, delivering innovative and sustainable solutions to clients across various industries. We pride ourselves on our collaborative and inclusive culture, and on maintaining high standards of safety, quality, and service.

Purpose of the Role

BGIS is looking for a Facilities Coordinator to support the facilities team for one of Australia's leading telecommunications organisations. You'll look after reporting, compliance and account administration, making sure the client receives accurate, timely information about how its technical facilities are performing.

This is a varied, part-time role working three days a week, with scheduled travel to other client sites including Clayton and Baulkham Hills. It suits someone organised and detail-focused who enjoys working with data and reports, and is comfortable engaging with technicians, vendors and client representatives.

You'll be joining a genuinely great team who have worked together for a long time, share knowledge freely, and enjoy a positive and supportive environment. We'd love to welcome someone with strong interpersonal skills who values collaboration and enjoys contributing to a cohesive team culture.

Key Responsibilities

  • Compile monthly account performance reports, technical service reports and Power BI performance reporting.
  • Track client SLAs and KPIs, and coordinate responses to Requests for Information.
  • Keep CMMS records, site listings and asset data accurate and up to date.
  • Process, reconcile and track invoices, purchase orders and client expenditure, and support month-end accruals.
  • Track operations budgets and minor project finances and progress.
  • Manage SharePoint records, document audits and the account's local process register.
  • Support statutory and contract compliance, including chemical and asbestos reports and workplace HSE audits.
  • Coordinate team meetings, training events and BSafe administration.
  • Build positive working relationships with technicians, vendors, client representatives and the BGIS team.

Education, Experience & Skills

Essential:

  • Experience in a facilities management, property or project environment.
  • Strong Excel skills and proficiency in Word, PowerPoint, SharePoint and Outlook.
  • Strong administration skills and the ability to manage multiple tasks.
  • Experience preparing written reports and reporting on KPIs and financial information.
  • Excellent communication and interpersonal skills with stakeholders at all levels.
  • High School Certificate or equivalent.

Desirable:

  • Experience or understanding of technical facilities, such as electrical, HVAC, fire, UPS, HV/LV, generators or DC systems.
  • Asset management experience.
  • Engineering or technical background, or qualifications in facilities management.
  • Experience with Power BI and CMMS platforms.
  • Training in WHS, QA and environmental systems.

Workplace Flexibility

This is a permanent, part-time position of 24 hours per week across any three days. The role is based on-site with free onsite parking and includes scheduled travel to other client sites such as Clayton and Baulkham Hills. There may be the opportunity for a hybrid arrangement after probation.
