Purpose of the Role
BGIS is seeking an experienced Facilities Coordinator to support the day-to-day operations of a high-profile cultural site. Reporting to the Project Manager, you will oversee maintenance requests, manage subcontractors and internal trades, and support administrative and compliance activities. This role ensures seamless operations while protecting sensitive assets in a public-facing environment.
The ideal candidate is organised, proactive, technically capable, and enjoys coordinating people and processes in a close-knit team. You are calm under pressure, collaborative, and committed to safety, compliance, and service excellence.
Key Responsibilities
- Serve as the first point of contact for the building management office, liaising with internal and external stakeholders.
- Manage and delegate maintenance requests, ensuring contract KPIs and CMMS records are maintained.
- Support Contract and Facilities Managers with financial, procurement, and administrative tasks.
- Supervise subcontractors and internal trades, ensuring work quality, safety, and compliance.
- Maintain accurate documentation, prepare monthly reports, and assist with ongoing process improvements.
- Promote a positive team environment through mentoring, coaching, and accountability.
Education, Experience & Skills
Essential:
- Experience in a property, facilities, or corporate real estate environment.
- Strong knowledge of building services, maintenance procedures, QA, OH&S, and environmental systems.
- Proficiency in CMMS and Microsoft Office (Word, Excel, Outlook).
- High-level organisational, communication, and stakeholder management skills.
Desirable:
- Experience in heritage, museum, gallery, or sensitive environments.
- Qualifications in building/facilities management, OH&S, or environmental legislation.
- Current First Aid Certificate.
- Ability to manage multiple priorities and problem-solve in a dynamic environment.
Workplace Flexibility
This role is based on-site at a major cultural site in Campbell, Canberra, with free on-site parking and close access to public transport. After probation, a hybrid working arrangement may be considered. 🏛️
