Purpose of the Role
BGIS is seeking a Facilities Administrator to support the delivery of nationwide Facilities Management services. You will work closely with Account Managers, Operations Support, Business Support, Reporting & Compliance Managers, and Facilities Managers to ensure accurate record-keeping, compliance, and smooth operations across multiple sites.
The ideal candidate is organised, proactive, and highly collaborative, with strong attention to detail and a focus on delivering consistent, high-quality outcomes.
Key Responsibilities
- Facilitate nationwide delivery of BGIS Facilities Management services, ensuring accurate record-keeping via SharePoint
- Manage compliance records, including iAuditor, AESC, Fire Life Safety documentation, and Lighthouse outputs
- Monitor cleaning services schedules, task management, and rostering systems
- Reconcile supplier statements nationwide and resolve discrepancies
- Maintain contractor training, vetting, insurance, and contract records
- Compile audit and inspection data and provide regular reporting to the Reporting & Compliance Manager
- Support ad-hoc administrative tasks, POs, work orders, and service delivery reporting
- Communicate contract or service changes to team members and stakeholders
- Provide backup support for Facilities Helpdesk, mailroom, and other operational duties as required
- Foster positive relationships with clients, subcontractors, suppliers, and consultants while supporting service delivery expectations 🤝
- Identify opportunities for process improvements, innovation, and cost reduction initiatives
Key Objectives
- Deliver Contractual Excellence: Ensure KPIs are achieved, services meet contractual requirements, and compliance with BGIS systems and OHS&E policies is maintained
- Drive Operational Performance: Monitor and enhance service delivery, particularly self-delivery cleaning services, with a strong focus on reducing abatement exposure
- Client & Stakeholder Engagement: Maintain positive relationships, provide timely reporting, and support effective communication to meet service expectations
Education, Experience & Skills
Essential:
- Experience in an administrative or coordination role with knowledge of QA, OH&S, and environmental systems
- Understanding of customer service principles
- Proficiency in Microsoft Office and data entry
- Excellent verbal and written communication skills
- Strong organisation, multitasking, and problem-solving abilities
- Financial awareness for managing POs, supplier invoices, and service cost reconciliation
Desirable:
- Experience in property, facilities, or corporate real estate environments
- Exposure to integrated service delivery across Property, Facilities, Project, and Financial Management
- Experience with CMMS or service delivery systems (e.g., Manhattan)
- Technical knowledge or experience in Building, Mechanical, Electrical, Project Management, Services Engineering, Cleaning Services, or Facilities Maintenance Management
- Formal qualifications in building or facilities management
