THE OPPORTUNITY

As the Executive Assistant to the Executive General Manager- Asset Management, you will provide high level secretarial and administrative support and is expected to work across divisional boundaries to build relationships and contribute to the effective functioning of the AM Leadership team and division as a whole. We are searching for someone who is people-focused, flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality while at times, working to tight deadlines. You will be a key member of the wider CS Energy Administration team and assist with streamlining processes and procedures across the business.

Responsibilities include, but are not limited to:

  • Coordinate calendars, schedule meetings, appointments and workshops and events with internal and external stakeholders as required;
  • Prepare agendas in consultation with key stakeholders, issue papers, and distribute in a timely manner for relevant meetings, and as requested prepare minutes and actions arising;
  • Track actions arising from relevant meetings ensuring matters are followed through to conclusion;
  • Provide administrative and secretarial support to committees and meetings as required;
  • Arrange travel in accordance with policy;
  • Arrange meeting venues, meeting schedules, conferences and catering as required;
  • Create purchase requisitions, goods receipts/service entries, payments, credit card reconciliation and other financial administration processes within SAP, ensuring that these are completed according to policy, as required;
  • Processing and payment of invoices, including appropriate document management

ABOUT YOU

To be successful in this role you will have the following skills and experience:

  • Experience as an Executive Assistant providing support to Executive Management or Senior Leadership;
  • Experience managing calendars, scheduling meetings, appointments and workshops with internal and external stakeholders;
  • Excellent planning and organising skills including forward planning to achieve tight timeframes and meet expectations;
  • High work standards, attention to detail, adaptability, initiative and responsibility;
  • Excellent written and verbal communication skills and strong decision-making ability;
  • Professionalism and ability to maintain strict confidentiality, act with discretion and use sound judgement is essential.
