THE OPPORTUNITY
Reporting to the Facilities Management Supervisor, your role will be to provide a broad range of administration services to the Facilities Management team in a safe, reliable efficient and cost-effective manner.
Your Key duties include:
- Assist in coordinating day-to-day facilities operations and maintenance activities.
- Communicate and coordinate with external vendors, contractors, and service providers.
- Help prepare purchase orders and track invoices related to facilities services.
- Monitor service level agreements (SLAs) and report issues to management.
- Maintain up-to-date facilities documentation, including asset registers, maintenance logs, and safety records.
- Assist in compliance documentation and audits related to health, safety, and building regulations.
- Provide general administrative support including answering phones, managing emails, and scheduling meetings for the Facilities team.
- Coordinate internal communications related to facilities management activities and updates.
- Support budgeting and financial administration tasks related to facilities costs.
- This role may also be required to assist the broader facilities team (Kogan and Callide) at times.
This is a fixed term (until September 2026), full-time position based at Callide Power Station.
ABOUT YOU
The successful candidate will:
- Hold a Certificate IV qualifications in an Administrative discipline or similar field.
- Two to three years’ experience in a high-volume support role is essential.
- Well-developed organisational, administrative and communication skills (written and verbal).
- A demonstrated ability to work at an intermediate-to-advanced level of Microsoft Office suite applications (Word, Excel Powerpoint, Access, Frontpage, Visio, Outlook), document management systems (HPE Records) and SAP.
- Strong attention to technical detail, work standards, adaptability within a changing environment and initiative.
