Our Exciting Opportunity:

This is an exciting opportunity for an Administration Specialist to join a fast-paced and dynamic team based in our Brisbane office. To succeed in this role, you must have proven strong administration and IT skills, and be able to support multiple managers and their teams. The role is full-time, requiring onsite support Monday to Friday.

In this role, you would:

• Provide general administrative assistance to the unit manager and their team
• Handle all onboarding administration for new employees such as e-forms, ordering equipment, accesses, and tools.
• Induct/onboard new employees and contractors covering office environment, procedures, and online training.
• Raise purchase orders, goods receipt contractor expense claims & hours, process extensions and ensure time reporting is done promptly
• Providing training updates, arranging refreshers & system access
• Order stationery, uniforms, couriers & catering
• Assist with travel, IT issues, meetings & team engagement activities.
• Vendor & Financial Management
• Management of Fleet (GPS tracking, fuel cards, insurance claims, services, vehicle inspections etc.)
• Database management (asset allocation, maintenance and calibrations, asset cost/register & employee databases)
• Handle all daily administrative tasks such as mail, and general upkeep of office environment and equipment in line with our facilities team.
• Accepting deliveries, facilitating pick-ups and overseeing the depot floorspace & stock
• Be active in considering automation and simplification across tasks in your day-to-day
• Deal with discreet and sensitive HR and related information

As our ideal candidate, you will have:

• Previous experience within the telecommunications industry (highly regarded)
• Hands-on experience supporting multiple managers and large teams
• Demonstrable experience in a fast-paced, matrixed environment
• Advanced Microsoft Office and SAP skills
• Experience using conference equipment
• Ability to multi-task and prioritise
• Good interpersonal and communication skills
• Attention to detail and ability to work as part of a team
