We are currently recruiting an Executive Assistant to join our eTech and General Counsel & Company Secretary departments. Ideally, this role will be based out of Port Macquarie but is open to candidates located anywhere within Essential Energy’s operational footprint throughout NSW.
About the role
The Executive Assistant is accountable for providing high level professional, executive, administrative and operational support to the Executive Leadership Team to ensure the achievement of strategic business objectives and the commercial success of the business.
The Executive Assistant is responsible for a wide range of complex and confidential reporting, analytical, and governance functions while providing a high level of specialist support to the Executive Leadership Team.
Further to the role, the Executive Assistant will contribute to continual improvement, reporting and the development of critical functions while providing quality customer service to all customers and stakeholders.
Key responsibilities
- Be responsible for the provision of executive operational support services to the Executive Leadership Team and serve as a key point of contact for the Executive Leadership Team responding to internal and external inquiries relating to business matters
- Provide high quality reporting including the research and analysis of data to prepare board papers including the formatting and preparation of high-level executive management documents and files and the dissemination of same ensuring confidentiality
- Develop and manage tools to drive efficiency and cost reduction across the business unit by tracking, reporting and monitoring asset effectiveness to maintain a continuous improvement focus
- Be accountable for database development and management to assist in the operational management of the business unit by controlling budgets, reconciling figures and identifying and rectifying anomalies
- Be responsible for the proactive coordination of business unit activities to ensure strategic business objectives are met along with identifying and implementing process improvements
- Provide professional, accurate and efficient support to the Executive Leadership Team by managing schedules, diaries, coordination of travel bookings, including the arrangement of conferences and meetings, hosting of corporate customers/visitors and other administrative activities as required
About You
In order to be successful as the Executive Assistant, you will have demonstrated experience in supporting executive management within a complex, high pressure environment. You’ll be an excellent communicator with an ability to effectively manage various stakeholders. You will have a working knowledge of administration processes, relevant business protocols, policies, procedures and their application, as well as advanced computer operation skills within relevant business systems. Your strong time management skills will be key to ensuring you are able to manage competing priorities whilst still meeting essential business requirements.
Required Qualification/Skills
- Diploma of Business Administration or demonstrated capability through past employment experience and/or relevant qualifications
- Working knowledge of office administration processes and practices in an executive office environment
- Knowledge and understanding of business stakeholders and customer service techniques
- Sound experience in delivering high level specialist advice and support to senior management in achieving strategic business objectives
- Excellent administrative skills and extensive experience in the executive management area with the ability to deal with sensitive matters and maintain confidentiality
- Strong skills in preparing business documents, researching and analysing information to prepare reports for senior management
- Advanced skills in computer operations and business systems relevant to the role including Microsoft office, PageUp and Peoplesoft.
