About the role
We are currently looking for an experienced Executive Assistant (EA)/Assistant Company Secretary to join our Sydney team, providing pro-active and comprehensive executive support to our Company Secretary, executive leaders, and Board. This role is a highly visible, full-time position, based in Sydney CBD.
This role will suit you if you enjoy a varied day, are effective at multi-tasking whilst working in a fast-paced environment alongside likeminded professionals and have an interest in learning about the mining industry. The role will combine Company Secretary related duties with day-to-day executive support including comprehensive diary and email management, travel and accommodation bookings, expenses, events, projects, and invoice management as well as general administration duties.
About you
To be successful in this position you will have extensive experience as an EA/Assistant Company Secretary with an ASX listed organisation, supporting the Company Secretary, executive management, and Board directors, ensuring the smooth functioning of board, board committee processes, travel and event logistics. You may have previous experience in a Legal Secretarial role or other legal background. You are highly organised and efficient and pride yourself on your time management, attention to detail, integrity, and confidentiality. You have a natural ability to communicate with all levels of stakeholders, both internally and externally. You are proficient in the use of MS Office and electronic Board portals and have an ability to work under pressure and to strict timelines.
Duties within this role typically include:
- Provision of support to the Company Secretary function to ensure seamless delivery of support to the Board and executive management in a timely, organised, and methodical manner.
- Board administration including but not limited to coordination of board and subcommittee meetings; compilation and electronic distribution of Board papers, agendas and minutes and managing mine site visit travel and logistics.
- Development and coordination of the annual Board schedule, including all travel and accommodation requirements and mine site visits.
- File management and maintenance of Company Secretariat documentation, policies, and registers
- Administrative co-ordination of shareholder meetings (AGM)
- Assistance with the compilation of the Annual and Corporate Governance Reports
- Administrative liaison with share registry, ASIC, ASX as required.
- Administrative support and co-ordination of the Employee Equity Plans
- Preparation of the annual Company Secretary budget.
