Why Join Georgiou - A STRABAG company
Georgiou is looking for an experienced Proposals Coordinator to join our NSW Pre-Contracts team in North Sydney.
You'll work across multiple live tenders, coordinating inputs from across the business, preparing non-technical responses and bringing submission documents together for a professional final submission.
It's a varied role where priorities can move quickly. You might be coordinating a major tender or EOI, responding to client updates, following up critical inputs or preparing a submission for final lodgement. You'll need to stay across the detail, keep people and deadlines moving, and know what needs attention next.
About the Role
Reporting to our NSW Proposals Manager, you'll coordinate the flow of information across several live submissions, liaise with internal contributors and clients, prepare non-technical responses and support the coordination, layout and presentation of technical schedules prepared by the wider project team.
You'll also support pre-contracts administration, including purchase orders, work orders and invoice processing where required.
Quality and attention to detail are important in this role, particularly as the Proposals team provides the final review before submission. Strong document control, proofreading, formatting and follow-through will be important when managing multiple deadlines.
Key Responsibilities
- Coordinate RFT, RFP, EOI, ROI, pre-qualification and other tender submissions from set-up through to lodgement.
- Review client documents and submission requirements, coordinate inputs and keep tender actions, meetings and calendars on track.
- Prepare and coordinate submission documents, including non-technical responses, editing, proofreading, formatting, visual presentation and collation, while supporting the layout of technical schedules prepared by subject matter experts.
- Manage multiple submissions at the same time and respond quickly to client updates, RFIs and changing requirements.
- Maintain tender registers, CRM information and tender resources such as project profiles and staff CVs.
- Work closely with the estimating and broader pre-contracts team, supporting contributors and keeping information flowing.
- Support pre-contracts administration such as consultant work orders, purchase orders and invoice processing where required.
Your Skills and Experience
- Demonstrated experience coordinating proposals or tender submissions, with experience in civil construction, infrastructure or a similar project environment highly regarded.
- A proven administration background, with experience coordinating complex documents, information and competing priorities.
- Strong document quality and presentation skills, with the ability to edit, proofread, format and refine submission content.
- Proven ability to manage multiple submissions and competing deadlines, while keeping actions and contributors on track.
- Strong written and stakeholder communication skills, with the confidence to coordinate inputs and follow up contributors across the business.
- Strong Microsoft Office capability, particularly in preparing and managing professional, content-heavy documents.
- A proactive and collaborative approach, with the judgement to prioritise effectively and take ownership while working closely with the wider Pre-Contracts team.
- A Certificate III or IV in Business Administration, or a related discipline, would be advantageous.
- Experience with COINS or similar financial/ERP systems, including purchase order and invoice processing, would also be advantageous.
