Help Drive Growth, Connections and Opportunity

At Populous, we design the places where people love to be together.

As a global architecture and design practice, we create some of the world's most iconic sports, entertainment, aviation, convention, and mixed-use destinations. Behind every successful project is a strong network of relationships, market intelligence, and business development activity that helps us connect with clients and deliver exceptional outcomes.

We're looking for a proactive and detail-oriented CRM & Marketing Specialist to join our Brisbane team and support our Business Development and Marketing functions across the Asia Pacific region.
This is a unique opportunity to combine CRM administration, user engagement, reporting, marketing coordination, and business development support within a globally recognised design practice. You'll play an important role in helping our teams manage client relationships, pursue new opportunities, and maintain the systems and content that support business growth.

About the Role
As a CRM & Marketing Specialist, you will support the ongoing management and adoption of Microsoft Dynamics 365 across the APAC region while contributing to a wide range of marketing and business development initiatives.

Working closely with Market Leaders, Project Leads, and the Marketing team, you'll help maintain high-quality client and project data, support users across the business, develop reports and insights, and coordinate submissions, presentations, and marketing collateral.

This role is ideal for someone who enjoys working across systems, data, marketing, and business development and is looking to build their career within a collaborative and fast-paced professional services environment.

What You'll Do
CRM & Systems Support
  • Maintain the quality, accuracy, and integrity of data within Microsoft Dynamics 365.
  • Manage client, contact, project, and opportunity information across the CRM platform.
  • Support users with CRM processes, data management, and best-practice use of Dynamics 365.
  • Conduct regular data audits and cleansing activities to ensure information remains accurate and reliable.
  • Produce reports, dashboards, and data extracts to support business development and marketing activities.
  • Assist with CRM onboarding, training, and user support initiatives.
  • Prepare training materials, user guides, and support documentation.
  • Promote user adoption and contribute to the ongoing improvement of CRM processes, workflows, and data quality.
Marketing & Business Development Support
  • Support the preparation and coordination of bids, proposals, submissions, presentations, and capability statements.
  • Collaborate with Project Leads, Market Leaders, and project teams to gather and coordinate information for pursuits and business development opportunities.
  • Maintain project profiles, case studies, team resumes, and marketing content.
  • Manage proposal libraries, marketing collateral, and content repositories to ensure information remains current and accessible.
  • Support the maintenance of content libraries within SharePoint, Open Asset, and related systems.
  • Assist with client, market, sector, and competitor research activities.
  • Support business development initiatives, client engagement activities, events, and marketing campaigns.
  • Contribute to the continuous improvement of marketing systems, processes, and content management practices.
What You'll Bring
Essential
  • 3–5 years' experience in a CRM, marketing coordination, business development, administration, or similar support role.
  • Experience working within a professional services or B2B environment.
  • Experience using CRM platforms, preferably Microsoft Dynamics 365.
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Experience coordinating documents, maintaining databases, and managing information with a high level of accuracy.
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and commitment to quality.
Desirable
  • Experience within the Architecture, Engineering, Construction, Design, or Professional Services industries.
  • Exposure to proposal, bid, or submission coordination.
  • Experience using Microsoft Dynamics 365, Power BI, Open Asset, InDesign, or similar reporting and marketing tools.
  • Experience delivering system training, user support, or change management initiatives.
