  • Supportive culture with a strong focus on safety, teamwork, and wellbeing
  • Exposure to the future of work with the latest project systems
  • Building a career founded on best in class systems, people, processes, within the Capital Projects Centre of Excellence.

About the Opportunity

We are seeking a organised, detail‑driven Project Administrator to support the successful delivery of the SHEPI Program.
In this role, you will ensure that project documentation, contractor submissions, record‑keeping, and data integrity meet required standards. You’ll be an essential link between the Project Manager, Project Engineer/Contracts Engineer, contractors, and reporting systems.
Your work will directly support consistent, high‑quality project delivery — ensuring compliance, clarity, and smooth operational flow across multiple workstreams.

Key Responsibilities

  • Review contractor documentation against required checklists and quality standards, ensuring completeness and accuracy
  • Identify and chase documentation gaps, including compliance artefacts, installation evidence, quality assurance records, and reporting inputs
  • Troubleshoot invoicing issues, resolving missing documentation, coding problems, and data misalignment in collaboration with the PM and Finance
  • Maintain consistency in filing and documentation, ensuring all project data is stored logically, securely, and in line with program standards
  • Support quality assurance processes by assisting with verification steps, evidence collation, and audit‑ready document control
  • Maintain data integrity across existing systems (project registers, trackers, reporting portals)
  • Coordinate reporting inputs to ensure timely and accurate monthly, weekly, and milestone updates
  • Provide general administrative support to the project team, including scheduling, correspondence, and workflow coordination

About You

You will thrive in this role if you are:
  • Highly organised, structured, and naturally detail‑oriented
  • A strong communicator who can chase information with confidence and professionalism
  • Comfortable with systems, registers, documentation platforms, and structured workflows
  • A proactive problem‑solver who doesn’t wait for issues to escalate
  • Someone who enjoys enabling a project team to perform at its best
Experience & Capabilities:
  • Previous experience in project administration, construction administration, compliance support, or similar fields
  • Strong proficiency with project systems, filing structures, and document control
  • Ability to interpret basic project documentation, contractor submissions, and compliance requirements
  • Excellent attention to detail and ability to manage multiple priorities simultaneously
  • Construction Management Graduates or those finalising their studies (highly regarded)

About Us

We are a delivery‑focused organisation committed to high standards of safety, quality, and community value.
You’ll be joining a collaborative project team working across housing, energy, and infrastructure programs that have meaningful impact.
