Te Whiwhinga Mahi | The Opportunity
Reporting to the Workforce and Rural Project Lead, the Workforce and Rural Health Project Coordinator plays a key role in supporting RANZCOG’s commitment to achieving excellence and equity in women’s health across Australia and New Zealand.
This 12‑month fixed‑term position, based at our Melbourne office conveniently located close to public transport, is responsible for coordinating and managing the administrative activities of relevant RANZCOG committees and project groups, with a strong focus on initiatives that support rural, regional and remote communities and strengthen the Australian obstetrics and gynaecology workforce.
Key Responsibilities:
- Oversee activities associated with designated committees and working groups, including organising meetings (online and face-to-face), preparing agendas and meeting minutes, and communicating with members.
- Provide proactive support and coordination to designated OGET regional health service hubs, ensuring that the OGET hubs meet the contractual requirements of their funding agreements with RANZCOG, including routinely monitoring the OGET hubs’ progress against set objectives, their financial reporting and delivery of the program, escalating any concerns to the Lead, Workforce, Rural and Regional Projects
- Writing clear and concise Board and Council reports on behalf of Committee and Project Group Chairs.
- Monitoring and managing Committee and Project Group inboxes including proactively responding to enquiries and correspondence in a timely manner.
- Providing high-level administrative support to Committee and Project Group Chairs.
- Supporting the maintenance of the College website and intranet pages relevant to the business unit to ensure currency and relevancy of information.
- Coordination and administrative support of Member education and training opportunities as required by the Committees and Project Groups.
- Proactive and timely coordination of Committee and Project Group events, and other College events as required.
- Planning and Coordination of relevant education and upskilling activities, including online education webinars.
- Liaising with the Department of Health on Government funded projects, including submitting reports and information as required.
Ko wai koe | About you - Key Selection Criteria
The ideal candidate will have:
- Sound experience gained in a professional environment, supporting committees (or similar bodies), preparing Board reports and general administration.
- Proficiency in meeting co-ordination, including demonstrated experience in the preparation of meeting papers and recording accurate and concise minutes.
- Experience of facilitating online meetings and training workshops using Zoom and/or other videoconferencing programs.
- Excellent written communication skills, with the ability to prepare accurate meeting agendas and minutes and draft a wide range of correspondence and reports for a wide range of audiences.
- Demonstrated interpersonal skills with the ability to confidently liaise and communicate effectively with a diverse range of stakeholders, individuals, and groups.
- Highly developed planning and organisational skills, including the ability to effectively handle conflicting priorities, establish timeframes and meet deadlines.
- Strong initiative and self-motivation and the ability to work autonomously and independently.
- Strong attention to detail, and the ability to initiate improvements to procedures and process.
- High level computer literacy including Microsoft Office suite of products.
- Demonstrated ability to operate both independently and in a team environment.
