All the responsibilities we'll trust you with:
- SUPPORT TO SALES DIRECTOR
You will provide assistance to the Sales Director in all areas of personal administration, including preparation and editing of confidential correspondence, reports, documents, meeting minutes and presentations. You will manage the SD's diary, scheduling of appointments and meetings, arrange room, car parking, catering and equipment bookings for client and internal meetings. The EA will coordinate travel and accommodation arrangements including flights, hotel bookings and itineraries for the SD and guests. You will liaise with all business functions with collaborative working relationship expected with other assistants and EA’s. You will consolidate, proof & conduct deadline management of regular reporting and ensure the Business Leadership Team is operating effectively, via management of key meeting schedules.
- OFFICE SERVICES MANAGEMENT
You will support front office reception staff when needed, manage some office duties that involve the sales functions or key company events and support the National Sales Team in relation to management of customer services, stationery and business card ordering, cleaning, invoice processing and incoming/outgoing mail.
- CONFERENCING, EVENTS, AND TRAINING
You will work with the Sales Director and BLT to ensure the the vision for annual meetings and events is delivered in a timely, efficient and inspirational annual basis this includes working with other business assistants to ensure full logistics of the event is successfully executed including all flights and accommodation, conference facilities and internal communications, Working with the EA to the Managing Director to coordinate some ALT events and offsite meetings and training aswell as playing a key role in the relationship with travel partner (and other partners that may arise) that deliver the required travel and indirect spending efficiency.
EXPERIENCE:
Your areas of knowledge and expertise that matter most for this role:
- 3+ years EA or PA experience supporting to Director (or similar) level
- Experience within an FMCG (or similar) multi-national company in a similar position
- Advanced experience with Microsoft Office programs including Outlook
- Word
- PowerPoint
- and Teams
- Some event management experience and budget management experience essential
- An adaptive style that may require urgency when needed
