In this role you will work closely with and report to our Chief Human Resource Officer (CHRO). Based primarily at MILVEHCOE (Military Vehicle Centre of Excellence) in Redbank, you may travel with the CHRO to offsite meetings including our Fortitude Valley office. Daily tasks will include inbox and diary management, scheduling meetings, including some preparation reports using PowerPoint and Excel. We are seeking an individual who is a self-starter who thrives on attention to detail, a “get it done” attitude and willingness to be flexible in a fast-paced and dynamic environment. You will have a strong sense of confidentiality and adhering to this working in a defence environment and provide a high level of support to the CHRO. You will also work closely with others in the broader HR and Safety department, and other stakeholders in the business.

As a Personal Assistant, you can anticipate some of your day-to-day tasks to include:

  • Developing, implementing and/or improving administrative systems, processes and procedures and guidelines to support the CHRO;
  • Managing high volume correspondence i.e. extensive email/inbox management of the CHRO, monitoring calendar of all internal and external appointments/ meetings to ensure high priority communications are identified and actioned in a timely manner;
  • Organising and managing complex diaries and interstate/international travel and accommodation management for CHRO and senior stakeholders when required;
  • Assisting in the preparation and document management of research papers, reports, policy documents, briefing materials, official correspondence, and proposals for consideration as required;
  • Liaising with executive level internal and external stakeholders (and their PA/EAs) to organise meetings and prepare correspondences and travel;
  • Coordinating documentation for board meetings, management meetings and customer presentations;
  • Assisting in event management of major/ corporate events and board meetings and participating in relevant project work when required;
  • Contribute to the delivery of HR projects and programs;
  • Arranging corporate credit card account purchases and expenses reconciliation;
  • Meeting and greeting visitors when required; and,
  • Any other duties and responsibilities that may be required as determined from time to time.

The experience and skillset best suited to this role includes:

  • Demonstrated experience in a similar role;
  • Strong background in executive support to senior executives and proven capabilities in leading a small team;
  • Intermediate to advanced skills with Microsoft Outlook, PowerPoint, and Excel;

  • Proven ability to work across multiple tasks and perform duties unsupervised;

  • Must hold or be eligible to obtain an Australian Government Security Clearance (must hold Australian Citizenship).
