About the role
We are currently looking to appoint an Executive Assistant to join Stantec in our Brisbane offices to provide high level administrative & secretarial support to the Regional Director, Water, Australia, and the Regional Director, Transportation, Australia. This role would suit a confident, flexible person who is career focused and enjoys the demands of working in a fast, paced, commercial environment.
Key Accountabilities
Manage diary, email and travel arrangements, including booking flights, accommodation and transportation for the Regional Directors.
Plans, coordinates and ensures the Regional Directors schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Regional Directors time and office.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
General administrative duties for the Regional Directors, including corporate credit card reconciliations, implementing and managing filing systems, tracking leave and travel, reviewing invoices for approval and preparing general correspondence
Co-ordinate and attend meetings/events both internal and external as required including drafting reports and presentations, taking and distributing minutes
Communicate directly to the various BC leadership teams on behalf of the Regional Directors
Screen all landline telephone calls and take accurate messages for the Regional Directors
Works closely and effectively with the Regional Directors to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Regional Directors updated.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting papers and communications, personal correspondence, and other tasks that facilitate the Regional Directors ability to effectively lead the BCs.
Complete all work in line with Stantec Core Values and in accordance with the Stantec Quality Systems and Project Quality Procedures.
Minimise and control risk by commitment to the Stantec Quality and Health & Safety programmes and ensuring proactive use of our project management systems.
Other duties as reasonably required, including:
Collate sharing success on behalf of the Regional Directors
Develop industry events list and book Regional Directors onto events
Other assistance as required
About you
Demonstrated 5 years' experience in a similar role, with specific experience supporting C-Level executives
Demonstrated experience in a large corporate (ideally global), head office environment
Advanced skills in MS Office (particularly in PowerPoint & Excel)
An ability to interpret verbal and written concepts and translate them into a visual format, presentation etc.
Excellent written skills as well as being able to display diplomacy and sensitivity in communication
A proactive nature in being able to identify needs and develop appropriate solutions
Flexibility to change priorities depending on the demands of the business and resilience to working under pressure
A professional, mature and collaborative corporate demeanor
