The Role
TasPorts is seeking an experienced Document Control & Project Support Officer to support the delivery of major infrastructure projects across our ports network.
This role plays a critical part in ensuring project documentation is accurate, secure, accessible, and compliant across the full project lifecycle. Working closely with project teams, contractors, and corporate stakeholders, you will provide expert document control, system administration, and project support to enable effective, well-governed project delivery.
This role is a fixed-term 2-year position.
Key Responsibilities
Reporting to the Programme document controls and assurance specialist, your responsibilities will include:
Document Control & Information Management

Administer document control systems such as Aconex, SharePoint, and Altus Sensei, including system support and vendor liaison.

Maintain strict version control, metadata accuracy, access permissions, and compliance with contractual and organisational requirements.

Establish and maintain project archives to support audits, assurance activities, and future reference.
Quality Assurance & Governance

Monitor document workflows and conduct documentation audits.

Support project assurance activities including Gateway reviews and project health checks.
Stakeholder Support & Project Administration

Prepare and coordinate project communications, correspondence, meetings, agendas, and minutes.

Provide secondary support for financial administration (purchase orders, receipting, reporting).

Coordinate diaries, meetings, travel, and stakeholder engagement logistics as required.
About You
You are a highly organised professional with strong attention to detail and a passion for supporting complex infrastructure projects. You bring confidence working with document control systems and enjoy enabling teams to work efficiently within sound governance frameworks.
You will ideally have:

Demonstrated experience managing electronic document and records systems (e.g. Aconex, SharePoint) on infrastructure or construction projects.

Strong understanding of project lifecycles, governance requirements, and compliance obligations.

Advanced document control skills including system administration, version control, metadata management, and auditing.

Excellent planning, prioritisation, and problem-solving capability.

Strong communication skills with the ability to support and train diverse stakeholders.

High proficiency in Microsoft Office and digital project systems.

Experience in construction, mining, or engineering project environments (highly desirable).
Mandatory Requirements

Current Driver’s Licence

Ability to successfully obtain and hold a Maritime Security Identification Card (MSIC)

White Card – Working in the Construction Industry (or ability to obtain)
Desirable

Experience and understanding gained from a construction or engineering-based work environment.
