The role
We are seeking an experienced Executive Officer to provide high-level executive administration, office management, and business support to the Group Executive MPATS.
This pivotal role ensures the smooth operation of the MPATS Division, applying initiative and autonomy to manage complex workflows and support strategic priorities. You’ll be the central point of coordination for senior leadership, championing digitalisation and process simplification to enable effective stakeholder engagement and operational excellence.
Key Duties
- Deliver confidential and accurate administrative support, including diary management, travel coordination, correspondence, and records management.
- Solve complex problems in business process management and reporting using digital tools such as SharePoint, OneNote, Teams, and Salesforce.
- Collect, analyse, and present data to inform decisions and drive improvements across the Division.
- Coordinate work outputs across departments and oversee administrative roles within MPATS.
- Prepare agendas, information packs, and minutes for executive meetings, ensuring timely follow-up actions.
- Act as the first point of contact for internal and external stakeholders, managing requests and prioritising responses.
- Develop and maintain internal communications, templates, and presentations, ensuring quality and consistency.
- Manage executive communications and information sharing through digital platforms.
- Prepare and quality-assure Board and Executive papers, reports, andpresentations.

What you will have

Proven experience providing executive-level administrative support.

Advanced digital administration skills and proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel), OneNote, MS Teams, SharePoint, and Salesforce.

Strong organisational and time management skills with the ability to meet tight deadlines.

Excellent communication and stakeholder management skills.

Ability to obtain and hold a Maritime Security Identification Card.

(Desirable) Tertiary qualifications in business administration and a current driver’s licence.
