What you'll contribute to
An exciting opportunity for an experienced Assistant to the General Manager to join our Business & Strategy Planning division in a permanent full-time position.
The Business Planning & Strategy Division provides overall corporate leadership and ensures effective governance, compliance, and strategic direction. The division also oversees sustainability, project management, and community engagement, partnering with the business to solve problems, support the achievement of company objectives, and foster a high‑performance culture that positions the organisation as an employer of choice.
The Assistant to the General Manager is responsible for providing high‑level support to the General Manager and Senior Managers by coordinating divisional activities and ensuring they have the assistance needed to operate effectively, achieve their strategic priorities, and meet divisional objectives.
This is a permanent role based at our CHQ office in Port Melbourne and is predominantly based onsite.
How you'll make an impact
- Manage the General Manager's diary by scheduling, delegating, or declining appointments as appropriate to ensure their time is prioritised effectively and travel commitments are minimised. Oversee all incoming and outgoing correspondence and ensure the General Manager remains informed of current business matters.
- Manage the day‑to‑day operational activities of the division by liaising with internal and external stakeholders regarding divisional matters and provide advice on behalf of the General Manager where appropriate. Address and resolve queries or issues as they arise, escalating matters when necessary to minimise risk. Support the General Manager and Senior Managers by coordinating meetings, events, and visitor arrangements related to divisional activities.
- Implement agreed processes and procedures in alignment with established policies to support the achievement of divisional objectives. Ensure any updates or changes to processes and procedures are accurately documented and effectively communicated.
- Assist in gathering, summarising, and analysing information to prepare documents and reports for the General Manager and Senior Managers, ensuring accuracy and timely delivery. Support project planning for kaizen and new initiatives by achieving milestones, breaking down complex tasks, and integrating divisional requirements into overall project plans.
- Monitor expenses against budgets to support effective cost control and identify opportunities for cost reduction and improved efficiency within the division.
- Coordinate all domestic and international travel for the General Manager and Senior Managers in accordance with Toyota's travel policies and procedures.

- Experience in a similar role within a large multinational organisation
- Strong organisational and time‑management skills
- Proficient in Microsoft Office and capable of producing high‑quality reports
- Ability to communicate effectively with stakeholders at all levels
- Experience in project management and reporting (desirable)
- Demonstrated proactivity, strong initiative, and the ability to manage confidential information with discretion
