About the Opportunity
Tracey Brunstrom & Hammond Pty Ltd (TBH), a well-established consultancy, is seeking an Office Manager to support our Eastern Region (ER) offices. Based in North Sydney, this role offers a unique opportunity to manage and lead a team while providing crucial support to our business across multiple locations.
As the Office Manager, you will be responsible for ensuring the smooth and efficient operation of our Sydney office, as well as providing remote support to our Canberra and Brisbane offices. With a dedicated team, you will oversee and be hands-on with administrative duties, mentor and coach the ER Admin team, and maintain a productive and safe office environment for our 150 staff members.
Key Responsibilities
- Lead and manage the ER Administration Team, providing support to Profit Centre & Corporate Services personnel, including Directors and senior management.
- Oversee all administrative functions, ensuring the office operates smoothly and safely on a day-to-day basis.
- Foster productivity and professional growth within the team through mentoring, training, and performance development.
- Coordinate general office operations, including facilities management and collaboration with Building Management.
- Manage invoicing, timesheets, and finance processes for ER, aligning with billing cycles.
- Assist with management reporting, travel arrangements, petty cash reconciliation, and staff onboarding/promotion/exiting.
- Maintain databases, prepare presentations, manage correspondence, and assist in tender preparation.
- Maintain and update the Integrated Management System (IMS) requirements for ER.
- Oversee internal QA auditing and ensure ER Admin Team is trained and conducting audits correctly.
- Ensure office supplies, furniture, and equipment are well-maintained, including OHSE inspections.
- Provide training support to staff and champion QA/IMS/OHSE/invoicing/timesheet procedures.
- Managing and co-ordinating the NSW Branch Administration team
- Co-ordinating NSW People and Culture and Administrative functions
- Managing WHSE activities
- Managing document and records management systems
- Managing office maintenance, building and equipment projects
- Managing and attending weekly utilisation meetings
- Co-ordinating local Directors' meetings
What you’ll bring
As our successful candidate you’ll bring:
- Certificate or higher qualification in Business or equivalent fields.
- Previous experience in a similar administrative role.
- Strong interpersonal and communication skills across all levels of the organization.
- Demonstrated leadership abilities in administrative operations.
- Excellent attention to detail, initiative, and organizational skills.
- Ability to manage and prioritize tasks, working autonomously when needed.
- Exercise sound judgement, tact, and discretion.
- Flexibility and adaptability to handle various administrative tasks, including confidential executive support.
- Professional demeanour and appearance.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and experience with SharePoint and PowerBI (highly desirable).
- Strong invoicing and quality system skills (AX desirable).
- Basic IT troubleshooting knowledge.
